**Core Responsibilities**:
- Overseeing and coordinating office administrative procedures.
- Managing office inventory.
- Reviewing and implementing new administrative procedures.
- Performing general administrative duties.
- Preparing communications and corresponding with vendors/suppliers/customers and staff.
- Coordinating office services, such as equipment repair, supplies, forms, shredding, parking, garbage removal and security services.
- Assembling data and preparing periodic and special reports, manuals and correspondence.
- Arranging or supporting meetings and appointments for Executive team and providing reminders.
- Maintaining confidential information for the business, ensuring information is handled appropriately.
- Receiving calls, taking messages and routing correspondence.
- Handling requests and queries appropriately.
- Making travel arrangements.
- Filing expenses for Executives and Director of People and Culture.
- Taking dictation and minutes and accurately enter data.
- In partnership with People & Culture, assisting in HR administrative functions.
- Special Projects as assigned by the Director of People & Culture and Executives.
**Skills, Qualifications and Experience**:
- Degree or Diploma, in business administration or communications an asset.
- 3+ years of Administrative/Executive Assistant/Office Management experience.
- Full comprehension of office management systems and procedures.
- Strong proficiency in Microsoft Office suites and other advance office technology.
- High Proficiency in English verbal and written communication skills.
- Exemplary planning and time management skills.
- Ability to multitask and prioritize daily workload.
- Comfortable working in a fast-paced environment
- Discretion and confidentiality.
- Experience with Dayforce by Ceridian an asset or any HRIS software.
