Event Coordinator

The Coordinator, Events under the direction of the Director, Event Operations, will primarily be responsible for coordinating the logistics of various events including hockey home games, and other events in Rogers Place and within the ICE District. This position will liaison with clients, internal departments and external stakeholders, prepare and distribute event details, costing details, and provide on-site support during event execution through to post-event reporting and financial settlement.
**General Responsibilities**:
- Serve as the primary Rogers Place contact for assigned events.
- Collaborate with clients to manage event details and execution plans.
- Work with suppliers for external event support and services.
- Create, distribute and maintain event details and venue operational instructions including event layouts, contact lists and activity details.
- Prepare cost estimates and cost summaries for assigned events and distribute them to the appropriate stakeholders.
- Lead event planning and information-sharing meetings to communicate and delegate event specifics to all stakeholders.
- Provide onsite event support and supervision for the duration of the event from set-up and execution to tear down.
- Create and distribute required reports for assigned events.
- Ensure Rogers Place compliance, with the City of Edmonton regulatory agencies as required.
- Assists Director, Event Operations with administrative duties and projects as assigned.
**Supervision of the OEG Events Team**
- In conjunction with the Events Coordinator, Oil Kings Brand, supports overall hiring, orientation, event scheduling and payroll preparation.
- Ensure adherence to OEG policies and procedures.
- Create and deliver a training program at the beginning of every hockey season.
- Support the training program for Events Team Supervisors.
- Provide Events Team members opportunities for growth through mentorship.
**Education, Experience, and Skills**:
- High school diploma required
- 3-5 years experience in the events industry, preferably in Sports and Entertainment or special events
- An Event Management Certificate, Diploma or Degree/Diploma in event management would be considered an asset.
- Passionate for delivering excellent experiences
- Highly organized, with time-management skills
- Resourceful and proven ability to handle multiple projects simultaneously
- Proven ability to maintain and foster positive relationships internally and externally
- Strong negotiation and influencing skills
- Demonstrated flexibility and adaptability
- Analytical skills to forecast and identify trends and challenges
- Excellent communication skills - written and verbal
- Computer savvy - proficient in Microsoft Office and sharing folders.
- Comfortable working on a project both in a team atmosphere and independently
- Ability to meet deadlines on time and work under pressure
- Ability to work weekends and evenings and at times untraditional hours of work
