**Position Status**: Regular Full-time
- Reporting to the Dean of Academic Organization and Registrar, the incumbent will perform various technical tasks of an administrative nature related to academic organization, and more specifically to admission.

What you'll conquer every day
- Applies the regulations governing the admissions data elements such as Permanent Codes, high school certification, Quebec residency and foreign student eligibility; reports discrepancies to the Admissions Officer for follow-up; transmits all data to the Ministry using computerized systems such as Clara, ARIANE and Socrate;
- Communicate with applicants and potential applicants for various reasons, including requesting missing documents, informing them about their admission files or answering questions they may have about the admissions;
- Invoicing students’ fees, follow-up on their payment and refund cancelled invoices when required;
- Organizes the collection of data related to the Summer School course offerings and produces a printed version of the Summer School timetable;
- Organizes student records and ensures that documents are kept in the student’s permanent file in line with Ministry regulations;
- Carries out administrative tasks related to the By-Law 8, regarding students success, such as identifying, coding and communicating with students in that situation;
- Build teachers’ proctoring schedule for the final exams week;
- Prepares and regularly updates a technical manual for all standard procedures related to the operations of the Admissions and transmissions tasks related to the use of Clara operating system;
- Provides support to Registrar’s Office staff members for questions on Admissions;
- Carries out tasks related to registration to cover vacations or absences of his/her counterpart in registration;
- Performs other duties as required.

**Requirements**:

- You have a diploma of college studies (DEC) in Administration with an appropriate specialty or, a diploma or an attestation of studies which is recognized as equivalent by the competent authority.
- Must be able to communicate in English and French, oral and written.
- Demonstrated knowledge of the Quebec college system.
- Demonstrated ability to work with dossiers of a confidential nature.
- Proficiency in word processing (Word) and spreadsheet (Excel) software programs in a Windows environment.

**Work Schedule**: Monday to Friday, 8:00 am to 4:00 pm for a total of 35 hours per week. Overtime and schedule changes may be required during peak periods.

**Salary Scale**: $26,38 to $35,22

**Anticipated Start Date**: 2024-12-02
