**DEPARTMENT OF MEDICINE**

The Department of Medicine(DoM) is comprised of 15 Medical Divisions, including: Cardiology, Dermatology, Endocrinology, Gastroenterology, General Internal Medicine, Geriatric Medicine, Hematology, Infectious Diseases, Medical Oncology, Nephrology, Neurology, Palliative Medicine, Physical Medicine and Rehabilitation, Respirology and Rheumatology.

The Department includes more than 200 academic medical faculty (physicians).

**Coordinator Role**

The Education Coordinator is a key resource on the Department of Medicine Education team.

The coordinator supports the education team to ensure all work streams are supported. This coordinator role also has a focus area of support for our distributed learning sites.
- Assumes a key role in the coordination of all regional learners in the Department including but not limited to Undergraduate, Postgraduate Core Medicine, General Internal Medicine, Dermatology, Neurology, Palliative Medicine and Physical Medicine and Rehabilitation.
- Key support for Regional Physician Site Leads, residents, staff and faculty in those areas
- Supports the Education Office Manager in education planning and performing needs assessments.
- Assists with implementing educational experiences and assignments for faculty in relation to education training.
- Maintains an up to date calendar of annual events together with a policy and procedure manual for the activities and duties for this position.
- Responsible for the financial duties relating to the funding of the Regional stream of residents from Dalhousie along with other financial duties within the Education office.
- Occasional travel may be required within the Maritime Provinces. Most travel will be to Yarmouth and Cape Breton.

MAJOR RESPONSIBILITIES:
The following responsibilities are representative but not all inclusive for this position:
Coordinator/Administration: (approximately 80%)
- Drafts correspondence, prepares reports, responds to verbal and written inquiries for information and seeks information from internal and external sources as necessary.
- Assumes a major role in the planning and coordination of regional learning throughout the Maritime Provinces.
- Responsible to ensure invoices, and supporting documentation is prepared for reimbursement for sites.
- Assumes a major role in development and implementation for evaluation processes for the

Postgraduate Office, including faculty, session and service activities.
- Maintains an up-to-date office filing system so that all appropriate Department of Medicine

administrative staff can access required files efficiently.
- Ensures that significant issues with respect to educational processes are followed using best

practices and procedures.
- Analyses issues/problems in detail and develops options for resolution.
- Works with faculty, administrators and residents on various initiatives related to the function and improvement of education programs.
- Compiles, sorts, analyses and reports all faculty evaluations: Evaluation of Service and Teacher promotion packages etc., ensuring that these are circulated in a timely manner.
- Coordinates and ensures completion of faculty evaluation tracking.
- Assists in the development and maintenance of databases related to educational activities of the Education Office.
- Arranges special/social events as required.
- Coordinates, together with the Education Office Coordinator, special lectures, workshops, (e.g. Teach OSCE’s, ABIM Exam, Orientation, Spring Party); identifies and schedules faculty, appropriately, arranges room bookings, catering and AV requirements as necessary; ensures evaluation and makes effort to continuously improve processes and events.
- Coordinates and ensures completion of Evaluation Reporting for Department of Medicine rotation for faculty on a biannual (May - October) basis and as required.
- Coordinates and facilitates in conjunction with the Divisional Program Directors, education sessions, including Academic Half Day.
- Prepares, in collaboration with appropriate resources, material for the Department of Medicine website.
- Prepares and distributes the weekly Departmental Education Schedule.
- Other duties as required.

**MINIMUM FORMAL EDUCATION**:

- Baccalaureate degree in related field required.

**NATURE AND AMOUNT OF EXPERIENCE**:

- A minimum of three years progressive experience in a coordinator or administrative role, preferably in a tertiary level academic health care/university setting, and a demonstrated ability to thrive in a demanding environment.
- Demonstrates high degrees of independent decision-making, self-direction, motivation, change management knowledge, team building, and leadership skills.
- Possesses superior multi-tasking abilities and an ability to follow projects through to completion, while respecting tight deadlines, and cooperating with stakeholders.
