Jacob Campagnaro, Team Lead & Co-Founder of Investments Group, is seeking a dedicated Executive Assistant to manage day-to-day operations, allowing him to focus on growth and client engagement. The Executive Assistant will provide comprehensive support, ensuring seamless business operations, from managing client relations to heading file organization and logístical coordination. This role is ideal for a highly organized, proactive individual with strong administrative skills and preferably a background in real estate.
**Key Responsibilities**:
- **Client Relations**:_
- Support client interactions, providing a professional and responsive experience.
- Oversee contact databases and track property listings and sales and ensure all client information is up-to-date.
- **Document Preparation & Management**:_
- Draft, prepare, organize and deliver for signing listing contracts, purchase agreements, and other real estate documents.
- **Transaction Support & File Management**:_
- Track contract deadlines and ensure compliance with contingencies.
- Maintain organized transaction files and ensure they meet brokerage requirements prior to completion.
- **Property Marketing**:_
- Coordinate with the design team to create marketing materials for property listings.
- Draft, edit, and proofread marketing materials and business documents.
- Upload and update listings on platforms such as the MLS and third-party listing websites.
- **Logistical Coordination**:_
- Manage Jacob's calendar, scheduling meetings, client appointments, and property viewings.
- Coordinate with vendors (e.g., appraisers, inspectors, photographers) for quotes and site visits.
- **General Office Support**:_
- Build and maintain systems/standard operating procedures for all key responsibilities.
- Work closely with the Team Manager of Investments Group, ensuring the team is operating smoothly and providing support where needed.
**Qualifications**:
- Minimum of 2 years of experience as an Executive Assistant or in administrative support, preferably in real estate or a fast-paced environment.
- Bachelor’s degree or diploma in business administration, real estate, or a related field (preferred but not required).
- Ability to work independently and manage multiple priorities.
- Experience in a hybrid work environment, supporting both in-person and remote tasks.
- Ability to maintain confidentiality and discretion.
