Service Appointment Coordinator

**Job Summary**
As a Service Appointment Coordinator at Century Mazda, you will play a crucial role in providing an exceptional service experience for our customers. You will be responsible for scheduling service appointments, coordinating with service advisors, and ensuring our customers receive timely and high-quality support. This role requires excellent communication, customer service skills, confidence, and a strong attention to detail.**Key Responsibilities**
- **Customer Service**: Greet customers warmly and engage with them to understand their vehicle service needs by text or over phone. Answer customer inquiries regarding service schedules, service procedures, and general maintenance questions.
- **Appointment Scheduling**: Schedule and confirm service appointments, balancing technician availability and service department load. Use the dealership's scheduling software to maintain an organized calendar of appointments. Confirm all appointments scheduled online. Contact customers to schedule appointments for follow up visits, such as installing parts that have been ordered and require a second visit.
- **Coordination**: Communicate closely with service advisors and technicians to ensure timely updates on appointment availability, workload, and customer requirements. Maintain an accurate record of appointments and updates.
- **Record Maintenance**: Maintain up-to-date and organized records of customer information, service history, and scheduled appointments to ensure efficient service.
- **Reminder Calls and Follow-ups**: follow up with "no-show" appointments, as well as follow-up calls to ensure satisfaction after service has been completed.
- Other duties as outlined by service manager.
**Qualifications**
- High school diploma or equivalent; additional training or education in customer service or automotive fields is preferred.
- Proficient in using scheduling and CRM software, Microsoft Excel and Word.
- Strong verbal and written communication skills.
- Detail-oriented with excellent organizational skills and an ability to manage multiple tasks simultaneously.
- Ability to remain calm and positive under pressure and handle customer concerns professionally.
**Skills**
- Excellent customer service skills with a customer-first attitude.
- Ability to work in a team environment and communicate effectively with different departments.
- Basic understanding of automotive services and terminology is a plus.
- Proficient with computers, Microsoft Office Suite (Excel and Word) and dealership-specific software.
