We are a Residential Real Estate Investor Group seeking an Executive Assistant to provide comprehensive administrative support to our executive team. The Executive Assistant plays a crucial role in ensuring smooth operations and facilitating effective communication among stakeholders. This position requires exceptional organizational skills, the ability to handle confidential information, and proactively address challenges to contribute to the overall success of our organization.

RESPONSIBILITIES:

- Serve as the primary point of contact for executives, employees, clients, and external partners, maintaining a professional and polished demeanor.
- Manage executives' schedules, including arranging appointments, coordinating travel, and organizing meetings.
- Assist in planning and coordinating meetings, conferences, and events, ensuring all necessary materials and logistics are in place.
- Conduct research, collect and analyze data, and prepare reports or presentations to support executives in decision-making.
- Handle sensitive and confidential information with utmost discretion, maintaining a high level of confidentiality.
- Assist in preparing and editing various documents, including correspondence, communications, presentations, and reports.
- Prioritize and manage multiple projects simultaneously, ensuring tasks are completed efficiently and on time.
- Anticipate executives' needs and take proactive measures to support their work effectively.
- Build and maintain professional relationships with internal and external stakeholders, fostering collaboration.
- Assist with special projects, initiatives, and requests as assigned, demonstrating flexibility and adaptability.

BASIC QUALIFICATIONS:

- Strong organizational and time management skills, with the ability to prioritize effectively.
- Excellent verbal and written communication skills English/French, with great attention to detail.
- Proficiency in using productivity tools such as Microsoft Office Suite and calendar management software.
- High level of professionalism, integrity, and reliability.

PREFERRED SKILLS & EXPERIENCE:

- Bachelor's Degree in Administration, Finance, Economics or Business and/or Real Estate Experience.
- Proven experience as an Executive Assistant or similar role supporting senior executives.
- Demonstrated ability to handle confidential information with professionalism and discretion.
- Exceptional problem-solving skills and the ability to make sound decisions.
- Strong interpersonal skills, collaborating effectively in diverse teams.
- Ability to thrive in a fast-paced environment and work well under pressure.
