Proposal Coordinator Co-op

In collaboration with the business development and marketing teams, help develop and submit proposals by providing administrative assistance to Proposal Manager.
Reports to: Proposal Manager
Essential Duties & Responsibilities:
Ability to generate custom copy for proposals and presentations, including writing/editing text, design layout, custom graphics, tailoring resumes, integrating schedules, with oversight and input from the Proposal Manager.
Maintain and update key proposal assets such as resumes, project data sheets, references, project database and company content with editing and templating competencies in keeping with company standards.
Support preparation of high quality and accurate proposal documents in accordance with agreed upon strategy under the pressure of changing timelines.
Work with the Proposal Manager to prepare work plans and organize proposal content.
Use InDesign to create proposal documents and interview collateral/presentations.
Work closely with marketing to develop timely design and production of high quality and competitive marketing proposals.
Ensure proposal document facilitates review process and feedback is accurately captured and implemented.
Coordinate proposal team efforts and ensure all timelines are met, including executing plan for final production and submission/delivery.
Coordinate proposal team assignments and execute proposal management plan.
Provide regular updates to management, operations, and support staff regarding the proposal process.
Review and analyze RFP documents to ensure adequate requirements are accurately captured and communicated to proposal team.
Ability to prioritize assignments efficiently and manage changing deadlines and priorities.
Ensure the quality and compliance of final proposal documents.
Maintain the electronic file structure, access, and back-up capability and procedures for all proposal materials on the team’s server system and firm’s intranet including Sharepoint and CRM.
Support presentation rehearsals, including actively supporting Proposal Manager and/or facilitators and coaches.
Contribute to assigned process improvement initiatives and support implementation.
Help develop and share best practices with team members to enhance the quality and efficiency.
Qualifications:
- Bachelor's Degree or other education in business, marketing or journalism or equivalent combination of education and experience.
- Good command of English language with strong written and copy editing and verbal communication skills. Works well in a team and displays initiative in owning and meeting deadlines.
- Proficient in InDesign, Microsoft Word/Excel/Outlook. Familiarity with RFQ/RFP processes and procedures is a strong asset.
- Solid time management, and critical thinking skills with ability to reprioritize tasks and deadlines.
