This position supervises and coordinates the operations of the HRLMP Clerical team. Responsible for the scheduling and utilization of all clerical staff in the program, supervises the clerical staff, serve as the liaison with other departments/hospitals, clinical staff & outside agencies, and develops and implements process improvements. The incumbent ensures that all operational functions are handled with efficiency, professionalism, and confidentiality. The incumbent also oversees and ensures clerical staff compliance with policies and accreditation requirements of the program.

**QUALIFICATIONS**
- Graduate of a 2-year Community College diploma or equivalent experience
- A minimum of 5-7 years progressive experience working within a program or executive assistant role in healthcare
- Excellent understanding of clerical processes, planning and flow
- Demonstrated commitment to continuous quality improvement
- Highly proficient in process improvement, be highly organized, and have an ability to prioritize and meet tight deadlines
- Proven experience working in a unionized environment (CUPE, OPSEU, ONA, NU)

**RESPONSIBILITIES**
- Responsible for the day-to-day operational and organizational effectiveness of the HRLMP Clerical staff that are located at St. Joseph’s Healthcare Hamilton and at multiple sites across Hamilton Health Sciences
- Planning and coordinating resources (scheduling, education, supplies, office and lab space and equipment)
- Engages clerical team in review of current administrative practices and processes to identify opportunities to streamline, standardize and improve processes across lab disciplines and sites
- Participates and facilitates regular team huddles with a focus on quality, workflows, workloads and collaboration in with laboratory technical teams
- Works with Project and Office Operations Manager and others within the program to develop, implement, and evaluate budget strategies and opportunities
- Leads implementation of special projects within the clerical portfolio to improve workflow, processes and build collaboration with leadership, physicians, scientists and laboratory teams that align with the HRLMP Strategic Plan
- Manages the development, implementation, evaluation, and maintenance of quality improvement initiatives with the clerical team
- Coaches clerical staff to ensure that continuous improvement initiatives are incorporated into day-to-day activities
- Works collaboratively with the Project & Office Operations Manager to identify vacancies and hire new staff
- Manages employee relations issues and appropriately escalate to the Project & Office Operations Manager as needed, promoting a teamwork environment where staff can interact productively and efficiently
- Oversees the orientation of new hires and ensures that role expectations are met in line with probationary timelines
