The Administrative Assistant/HR Administrator is responsible for senior level administrative assistance and support to the Directors. This position provides administrative support for the Directors, and coordinates the human resource and office management functions of the organization.

STATUS Regular Full-Time HOURS Monday to Friday, 9:00 a.m.to 5:30 p.m. (40 hours per week)

IMMEDIATE SUPERVISOR: Director of Operations

SUBORDINATE POSITIONS: This position does not supervise the work of others.

RESPONSIBILITIES:

- Assist Directors and managers with scheduling meetings, preparing agendas and taking minutes
- Organize and schedule meetings for the Directors as required.
- Arrange office events, special events and projects, both internal and external as required.
- Assists with the development of human resources policies with regard to employee relations and standards of practice.
- Primary contact for external HR inquiries and internal human resources, benefit inquiries
- Administer benefits plan and liaise with the payroll department as needed.
- Maintains employee attendance record, including monthly reporting duties
- Manage the posting process for open vacancies
- Assist department heads with recruitment and selection process
- Manages employee job descriptions.
- Update and manage HR systems
- Support the on-boarding process of new employees.
- Maintain and Manages employee training files, databases, and any forms
- Maintain confidential human resources files and employee-related databases.
- Maintain and update Employee Policy Manual
- Coordinate annual performance reviews.
- Attend Health and Safety Committee meetings, prepare agendas and minutes
- Organize and purchase office supplies and equipment as needed
- Be the main point of contact with the building management company
- Schedule and manage cleaning company
- Manage the company phone system
- All other related duties as assigned
- Job Requirements/Qualifications:

- REQUIREMENTS:

- Degree/Diploma in Office Administration/Business preferred.
- Community College Diploma or Certificate in Human Resources program preferred.

- Strong organizational, research skills, with ability to multitask and prioritize
- Detail-oriented and accurate
- Good interpersonal office skills and ability to work with others effectively.
