The Alma Mater Society (AMS) is the University of British Columbia’s (UBC) student society, and works to improve the academic, social and personal lives of the 56,000 UBC students at its Vancouver campus. The AMS also runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that goes directly back into supporting the students at UBC.

**Position title**: Executive Assistant to the President
**Reports to**: AMS President
**Supervises**: None
**Employee status**: Hourly Exempt, Appointed
**Length of term**: May 1, 2024 - April 30, 2025
**Hours per week**: 10
**Compensation**: $18.00 per hour

Position Purpose

The Assistant to the President supports the AMS President in a number of capacities ranging from administrative duties to project planning. This position works closely with the President on a daily basis, including advising the President, coordinating meetings, responding to availability requests, planning events, and other duties as required.

**Responsibilities**:

- Complete day-to-day administrative duties for the President
- Advise the President on relevant matters
- Coordinate meetings and availabilities for the President, Committees, and others as required
- Liaise and coordinate between the President’s Office and other groups such as AMS Executives, AMS Council, AMS staff, UBC Administration, and others
- Assist with the Presidents’ correspondence and manage scheduling
- At the request of the President, attend meetings with or on behalf of the President, and provide administrative support during and after them
- Coordinate events and assist with projects and presentations
- Assist with organizing major AMS events such as the AMS Awards Gala and Annual General Meeting
- Uphold the AMS’s mission, values, constitution, and Strategic Plan
- Other duties as required by the President

Qualifications and Experience
- Must be a currently registered student at UBC Vancouver or one of its affiliated colleges
- Very organized, punctual, and detail-oriented with an ability to multi-task.
- Strong public relations, teamwork, and organization skills
- Ability to meet deadlines and work well under pressure
- Excellent written and communication skills
- Able to quickly adapt to new environments and problem solve
- Able to easily remember people, names and dates
- Trustworthy, with a proven track-record of confidentiality
- Comfortable with performing administrative tasks or managing projects
- Experience as an assistant or in project management preferred but not required
