To provide direct patient care services for patients receiving radiation therapy by scheduling patient appointments, issuing parking permits, and providing charts to the appropriate clinic areas. Direct patients accordingly. Provide support for reception services (phone answering).

Within this role the employee is accountable for contributing to the delivery of the Kingston General Hospital strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.

**DUTIES & RESPONSIBILITIES**:

- Schedules and coordinates all radiation treatment related appointments for patients (both internally and externally). Calls patients with dates and times of information. Instructs patients on preparation needed for radiation treatment planning appointments. Organizes lodging of patients if necessary. Orders porters, taxis, and ambulances when required.
- Perform reception duties for patients, families and health care team members. Respond to incoming calls, redirect calls, and relay messages promptly and accurately. Documents all related inquiries.
- Prepare patient chart for appointments. Coordinates the ordering and booking of external hospital charts, x-rays and other diagnostic imaging reports, and other relevant information for patient’s visit. Filing of patient films and charts.
- Contact appropriate Centre staff regarding patient appointments.
- Transcribe physician orders in accordance with policy and procedure including blood/lab specimen orders and document results.
- Organizes lodging of patients if necessary. Arrange porters, taxis and ambulances when required. Coordinates for interpreters, power of attorneys etc. to be present for radiation treatment related appointments. Prepare daily workload lists for all clinical areas.

**BASIC QUALIFICATIONS**:

- 2 year program Office Administration - Medical Diploma or equivalent combination of education and experience
- 2 years related experience in a health care setting
- Medical terminology
- Demonstrated computer literacy Microsoft Windows, Microsoft Word (Level 1), Microsoft Outlook.
- Good organizational skills with ability to set priorities appropriately
- Demonstrated ability to follow instructions accurately, work under pressure and cope with frequent interruptions
- Excellent interpersonal skills and demonstrated ability to communicate effectively, courteously, and tactfully with all types of people
- Demonstrated effective oral and written communication skills
- Proven ability to attend work regularly
- Satisfactory criminal reference check required
