We are seeking a reliable and professional Receptionist to join our team. As the first point of contact for clients, partners, and visitors, you will play a crucial role in creating a positive and welcoming experience.

**Key Responsibilities**:
**Greet and Welcome**: Create a friendly and welcoming atmosphere for all visitors, clients, and employees who enter the office. Offer a warm reception and assist them with their initial inquiries.

**Communication**: Answer and direct incoming phone calls, taking accurate messages and forwarding calls as necessary. Respond to inquiries in a timely and professional manner, providing accurate information about the company's services, processes, and procedures.

**Appointment Scheduling**: Manage appointment calendars for various team members. Schedule client meetings, service appointments, and consultations in an organized and efficient manner, while coordinating with field personnel.

**Client Interaction**: Assist clients in filling out necessary paperwork, collecting required information, and explaining procedures related to disaster restoration services. Maintain a compassionate and helpful attitude during sensitive situations.

**Data Entry**: Accurately input client information, project details, and relevant data into the company's database. Ensure records are complete, up-to-date, and easily accessible.

**Office Maintenance**: Keep the front desk area clean, organized, and stocked with necessary supplies. Manage incoming and outgoing mail and deliveries.

**Coordination**: Collaborate with internal teams, such as project managers and technicians, to ensure efficient communication and coordination of tasks. Relay critical information and updates to appropriate personnel.

**Problem Solving**: Handle minor client concerns, questions, or issues professionally, escalating more complex matters to the appropriate department. Find suitable solutions within company guidelines.

**Administrative Support**: Assist with general administrative tasks, including filing, photocopying, scanning documents, and maintaining office records. Support the overall office workflow as needed.

**Emergency Response**: In case of high-pressure situations or emergencies, follow established protocols and remain composed while providing necessary information and guidance.

**Qualifications and Skills**:

- High school diploma or equivalent; additional education or relevant certifications is a plus.
- Excellent communication skills, both verbal and written.
- Strong interpersonal skills, with the ability to remain composed in challenging situations.
- Proficient in using office software such as Microsoft Office Suite.
- Attention to detail and strong organizational abilities.
- Prior experience in a customer service or receptionist role is required.
- Empathy and professionalism when dealing with clients facing distressing situations.
- Ability to multitask and manage priorities effectively.
- Familiarity with disaster restoration concepts or the construction industry is advantageous but not required.

**Salary**: $20.00-$22.00 per hour
