**POSITION SCOPE**

Reporting to the Manager, Volunteer Engagement, the Program Administrator, Volunteer Engagement supports the coordinated planning and delivery of the Volunteer Engagement Program. The Program Administrator is responsible for the recruitment and on-boarding of volunteers, group volunteer events, and a range of assigned activities that contribute to the positive profile of volunteer-led initiatives and a positive volunteer experience.

**SUMMARY OF DUTIES AND RESPONSIBILITIES**
- Plans, coordinates and implements corporate and group volunteer events and activities that enhance OCH communities and contribute to a positive volunteer experience
- Matches volunteers with diverse needs and interests to OCH requirements
- Works with internal and external stakeholders in the planning and prioritization of volunteer events and activities
- Builds and maintains relationships with internal and external stakeholders to promote a positive understanding of the value of volunteer-led initiatives and a commitment to support them
- Gathers, organizes and assesses information on completed events, activities and volunteer experiences, supporting the identification of areas for improvement
- Provides a timely response to inquiries related to the Volunteer Engagement Program and delivers a high standard of customer service
- Maintains awareness of program financial constraints and supports basic financial and expense management including invoice and payment processing
- Attends project community consultation meetings, as required
- Supports OCH’s participation in the volunteer management sector and stays abreast of changes and trends
- Prepares a broad range of correspondences and reports on a regular basis and as needed
- Supports the implementation of media relations and communications strategies, including monitoring and maintaining program website and social media accounts
- Leads and coordinates volunteer recruitment, screening and onboarding
- Promptly reports all workplace accidents or incidents and unusual or dangerous work conditions
- Represents OCH in a professional manner and treats all work related contacts with respect and courtesy
- Works in collaboration with other staff in a team approach to service delivery
- Works in alignment with OCH vision, mission, values, interests, plans and objectives
- Performs work in accordance with applicable health, safety and privacy legislation, policies and procedures, and all other legislation, policies and procedures relevant to area of work

**QUALIFICATIONS/EXPERIENCE**
- Completion of a minimum Grade 10 plus relevant training
- A minimum of two (2) years of related experience
- Experience working with volunteers and/or coordinating events in a not-for-profit environment is preferred
- Completion of a post-secondary program in a related field is an asset
- Possess or working towards a Certified Volunteer Administrator or related designation is an asset

**KNOWLEDGE AND ABILITY REQUIREMENTS**
- Knowledge of volunteer management principles and practices
- Knowledge of community resources relevant to the needs of tenants and tenant communities
- Understanding of the diverse needs, abilities and social, economic, cultural and other factors present in OCH tenant communities
- Understanding of the values, vision and mission of Ottawa Community Housing and a commitment to support those objectives
- Knowledge of applicable health and safety legislation, including the rights and responsibilities of workers and supervisors
- Must be familiar with all applicable statutory requirements, policies, procedures and guidelines relevant to area of worK
- Organizational and administrative skills and the ability to effectively prioritize work
- Strong interpersonal skills and a professional, client centered approach to relationships with all internal and external work related contacts, including tenants, the public and community leaders
- Ability to write professionally, synthesize data and organize written material effectively
- Able to build and maintain effective and professional relationships
- Strong oral and written communication skills allowing for effective discussion that generates buy-in
- Exercises good judgment and discretion
- Able to identify, assess and problem solve issues to resolution
- Ability to work independently and with mínimal supervision while implementing a team-based approach to the service delivery
- Proficient in the use of information technology such as mobile devices and computer systems in the performance of work.
