Office Assistant

The **Office Assistant** plays an important role in ensuring the smooth and efficient functioning of the office environment. This position involves providing comprehensive support across various administrative and operational tasks to facilitate the daily workflow.

**AlphaBee **provides ABA-based services to children on the Autism Spectrum (ASD), from individualized to classroom teaching, social skills, clinical consultation to families, professionals and community agencies
**Responsibilities**:
- **Document Management**: Maintain and organize important documents, files, and records, including confidential materials. Ensure that documentation is accurate, up-to-date, and easily accessible for the leadership team.
- **Event Planning**: Assist in planning and organizing company events, conferences, fund-raising initiatives and off-site meetings. This may involve coordinating logistics, tracking invitations and RSVPs.
- **Administrative Support**: Provide general administrative support to the senior leadership team, with daily operational and administrative tasks as required.
- **Meeting Coordination**: Schedule and coordinate meetings, both internal and external, for the senior leadership team, ensuring timely distribution of agendas and necessary materials. This includes setting up conference calls, video conferences, and room reservations as needed.
- **Data Entry and Reporting**:Perform data entry and maintain databases or spreadsheets, generating reports and summaries as required by the team.
- **Process Improvements**:support company commitment to continued growth by contributing to streamlining and efficiencies of daily operations.
- **Confidentiality**: Maintain strict confidentiality and handle sensitive information with discretion and professionalism.
**What You Need to Be Successful**
- A minimum of a high school diploma or equivalent; post secondary education or certifications are a plus.
- Proven experience as an administrative assistant or office administrative assistant;
- Knowledge of office management systems and procedures;
- Working knowledge of office equipment including printers and fax machines;
- Strong computer proficiency including MS Office (MS Excel and MS Powerpoint in particular).
- Excellent client service and teamwork skills with the ability to proactively listen and respond with appropriate information;
- Able to think creatively, work in a fast-paced environment and effectively prioritize and work under pressure;
- Works with an energetic and positive “can do” attitude;
- Strong project management and organizational skills with exceptional attention to detail;
- Self starter and the ability to think creatively and out of the box; strong interpersonal and problem-solving skills
- Drivers license and access to a vehicle is required
**Hours of Work**:Monday - Friday with ability to work evenings and weekends as required for events.

**Salary**: $18.00-$20.00 per hour
