**Position Title: Project Administrator**

The objective of this position is to assist the engineering and operations departments with timely and efficient execution of all administrative tasks associated with project work.

**Company Description**

Trinity Engineering & Consulting is a growing Building Services Consulting Firm, specializing in Mechanical, Electrical and Civil Engineering of Multi‐Unit Residential, Commercial, Institutional and Industrial Buildings. New Construction and Retrofit. Our professional team is growing and we are looking for an ambitious and positive Project Administrator to join the group in our Oakville Office. We are a Professional Engineering firm who takes great pride in our Clients, Projects and Buildings.

**Primary Activities**
- Administration_
- Manage the prequalification process for all projects ‐ obtain required information from departments and compile documentation.
- Assist with the preparation of proposals as required.
- Coordinate, prepare and compile tender documentation.
- Review tender submissions and prepare Bid Summary for engineering department analysis.
- Review of Contractor WSIB & Insurance certificates, confirm validity.
- Prepare Field Review documents and Meeting Minutes in conjunction with the engineering and operations departments.
- Prepare Change Order documents in conjunction with the engineering and operations departments.
- Prepare Certificates for Payment, ensure all required documents are included.
- Create and maintain close out documentation for projects as required.
- Create and maintain various Microsoft Excel spreadsheets as needed.
- General documentation and report preparation.
- Accounts Payable and Accounts Receivable_
- Maintain client management system, enter client contact and billing information into system.
- Maintain accounts receivable records.
- Prepare and deliver invoices.
- Follow‐up with Clients as required regarding outstanding payments.
- Maintain accounts payable records.
- Issue payments as required.
- Follow‐up with Subcontractors and Suppliers as required regarding outstanding invoices.

**Supervision and Direction Received**
- This position reports to the President and receives direction from the Engineering division.

**Knowledge, Skills and Abilities**
- Education/Experience_
- College diploma with specialization in administration, business administration/management or equivalent.
- Previous contracting or consulting industry experience considered an asset.
- Skills_
- Organized and dependable.
- Productive with mínimal supervision.
- Ability to learn quickly and manage multiple tasks/assignments.
- Strong computer skills, high level of proficiency with MS office (Word and Excel).
- Excellent written and oral communication.

**Type of Employment**
- Full Time
- Contract based

**Job Type**: Fixed term contract

**Salary**: From $50,000.00 per year

Schedule:

- Monday to Friday
