**Position Overview**
The Coordinator, Logistics & Transportation drives shareholder value by maintaining and ensuring the timely delivery of inbound and outbound high quality products that meet our specifications and consumer expectations while maintaining excellent relationships with CFIA Inspectors, 3rd Party Storage, Transportation companies, and internal employees. The Coordinator, Logistics & Transportation proactively implements processes and procedures to improve the efficiency and accuracy of our transportation and logistics programs. Maintains up to date records for inventory control and is fully cross trained with other roles.
**Supply Chain**:
- Monitor and expedite container release from steamship carriers by:
- Collect and review Bills of Lading, arrange payment in full for any additional charges not prepaid
- Update all parties with shipping summary and submit documents to customs for Eastern Canada
- Update invoice to supplier and deduct charges not prepaid
- Liaise with CFIA Inspector for Multi-Commodity Activities Program (MCAP) updates
- Relay information on full vs visual inspection status and timelines on receiving inspected raw materials
**Transportation**:
- Assist with all transportation inbound and outbound of Toronto facility across Canada - fresh and frozen:
- Get quotes and manage carriers on a timely basis
- Dispatch, route, track transportation, and recommend more efficient routes as needed
- Negotiate best freight rates for FTL and LTL, and set up primary, secondary and tertiary carriers
- Coordinate pickup and delivery schedules for inland shipments, and trouble shoot for any logístical issues to ensure that customer service levels are not impacted
- Verify, investigate, and resolve customer and shipper complaints in a timely manner, with the ongoing goal to minimize errors, delays, fines, and complaints
- Prepare all transportation reports:
- Compute reporting metrics such as on-time delivery rates and order fulfillment rates
- Approve, track and ensure payment of freight and storage invoices
**Logistics**:
- Manage Warehouse Outbound Scheduling:
- Create, maintain and communicate outbound shipping schedules
- Manage order scheduling from production plant and 3rd Party cold storage facilities
- Provide transfer information to Inventory Control Coordinator
**Additional Duties**:
- Perform other related duties as assigned, and initiate recommendations to further enhance the company’s recognition as a top employer
- Liaise with sales, procurement and warehouse personnel to ensure information is accurate and shared
- Support Montreal Warehouse or British Columbia Warehouse as needed
- Assist Production, Transportation & Logistics teams to implement process improvements to maximize efficiency and minimize operations costs and errors
- Assist Shipping/Receiving Operations team as needed for regular back up:
- Receive calls from drivers upon arrival
- Coordinate with Shipper/receivers, inform them about truck arrivals
- Coordinate with Logistics about missing or late trucks
- Enter orders into MS Dynamics
- Key Success Measures_
- Efficient execution of functions - maximize fill rate via exact management of inventory, order scheduling, and transportation services
- Manage and mitigate incremental storage and freight costs related to service issues
- Accurate and timely delivery of products in the most cost effective manner
- Accurate and timely administration of documentation
- Qualifications & Considerations for the Position_
- College or secondary school diploma
- Certified in Logistics, Transportation & Distribution (CLTD), an asset
- Up to 3 years’ experience in the transportation and logistics industry, preferably in perishable goods
- Strong understanding of scheduling and the costs associated with FTL, LTL and Refrigerated transportation
- Fluent in English
- Organized self-starter with proven ability to co-ordinate and effectively follow up on multiple projects and assignments and meet all deadlines
- Experience in Lean Management Systems and processes an asset
- Excellent ability to plan, organize and prioritize with attention to detail and accuracy
- Proven ability to work under pressure, resolve problems, and meet tight deadlines
- Able to collect, maintain, evaluate data, summarize and write reports, and recommend continuous improvement
- Strong math skills to compute weight, cost and other variables
- Good oral, written and communication skills; able to develop and maintain strong working relationships with all stakeholders
