The Medical Records Administrator plays a pivotal role in maintaining and managing client health records at Bellwood. They are responsible for overseeing the organization, accuracy, confidentiality, and accessibility of patient medical records in compliance with regulatory standards to uphold the privacy and confidentiality of client information. All duties are to be performed onsite at Bellwood premises.

**Specific Responsibilities of the Administrator**:
Medical Records Management:

- Maintain and update client medical records following facility policies and regulatory requirements.
- Ensure accuracy, completeness, closure, and confidentiality of all medical records in the electronic medical record system (EMR).

Medical Records Retrieval and Release:

- Facilitate the retrieval of client medical records as requested by authorized healthcare professionals within/outside the facility.
- Manage the release of client information according to established protocols and consent procedures.
- Compile, proofread and finalize client documents, including reports, discharge summaries, medical documentation, and admission letters to referring parties (e.g. physicians, healthcare facilities, insurance companies, agencies, etc.) in a timely and accurate manner.

Administrative Responsibilities:

- Assign care team to clients within the EMR, preparing daily group lists and client program schedules, and additional tasks as assigned.
- Process physician orders alongside scheduling in the EMR as required.
- Perform other duties as assigned.

Collaboration and Communication:

- Collaborate with healthcare providers, administrative staff, and other departments to ensure seamless medical records management and information flow.
- Communicate effectively with internal/external stakeholders regarding medical records requests or inquiries.

Inclusive but not limited to the additional specific tasks:

- Take minutes at daily flash meetings and communicate to the clinical team.
- Take minutes at clinical staff meetings as required.
- Prepare a customized session schedule/calendar for each client
- Update client session schedule/calendar for each client (e.g. program change).
- Compile/update client binders as needed. (currently printing is done at Allegra)
- Prepare/update daily group session lists.
- Ensure the bulletin boards are tidy and up to date. Print new materials and post as needed.
- Provide administrative support to the clinical/medical/corporate staff as required.
- Print client labels for lab requisitions.
- Process physician orders including but not limited to completing lab requisitions, scheduling internal/external appointments and sending supporting documentation.
- Prepare schedules for physicians/psychiatrists.
- Prepare urine/saliva/RAT/PCR/breathalyzer/room search client logs currently automated via Excel with some input from Medical Administration team as needed.
- Sort consult reports/lab results for physicians and upload into electronic medical record system (EMR).
- Answer telephone inquiries at the nursing station (internal/external).
- Collect and sort lab results/reports from external agencies for uploading to the EMR.

**Qualifications**:

- Previous experience in medical record management or administration
- Graduate of a health information management program or equivalent at a college/university level
- Knowledge of healthcare regulations and compliance standards (e.g., PHIPA).
- Familiarity with Electronic Medical Record (EMR) software and strong computer skills.
- Attention to detail, organizational skills, and the ability to maintain confidentiality.
