**Office Administrative Support**

The Office Administrative Support position is a temporary one-year part-time position to be re-evaluated nearing the end of the term with potential for extension and changes in responsibilities.

This role is responsible for supporting general office procedures, office projects and administrative duties, assisting the AAA Administration to ensure the efficient operation of the AAA office. A key area of focus is preparation for the upcoming move to a new location, which will include Record Information Management (RIM) and the resulting administrative support to the Manager, Executive Office.

This position requires a high degree of professionalism, must exercise initiative and judgment in handling routine and non-routine confidential and special project assignments. The individual must demonstrate a strong commitment to the Association’s values and beliefs as well as assist in creating a positive and professional working environment.

**Essential Responsibilities**
- Use of Word, Excel and database software to prepare trackers, reports, memos and other documents as required.
- Enhance the general office experience by helping to organize and champion office events.
- Attend and assist with AAA functions or projects, as required.
- Additional administrative duties as required.
- Supporting the work needed for the Duggan House move in 2024 which may require on-site visits, supporting requests from the executive team, decluttering current space as well as prepping and organizing new office space.
- Coordinate the Record Information Management (RIM) for all historical AAA records (e.g., member files, documents, magazines, etc.). This would include revisiting current record storage and determining which files need to be destroyed, archived and/or digitized to reduce the AAA footprint, as well as the development of a record management tracker.
- Assist with research for various projects as required.
- Assist with the Fire Safety Awareness Program.

**Qualifications**
- High school diploma or equivalent
- Certificate or diploma in Office Administration or Records Information Management is preferred, but equivalent experience will be entertained
- A minimum of two years’ experience in an administrative capacity
- Knowledge of general office procedures, office equipment, procurement, etc.
- Intermediate to advanced knowledge of MS Office
- Must speak, read and write English fluently
- Excellent organizational abilities and interpersonal communication skills
- Must be professional, organized and efficient
- Excellent writing skills including spelling, grammar and punctuation
- Attention to detail and committed to producing accurate, high-quality work
- Handle sensitive and confidential assignments with tact and diplomacy
- Ability to manage multiple tasks and meet deadlines
- Professional telephone manners
- Strong customer service orientation
- Ability to work in a self-directed manner with mínimal supervision
- Establish and maintain cooperative working relationships

The Alberta Association of Architects is a self-governing professional association charged under the Architects Act with the registration of Architects and the licensing of Licensed Interior Designers. The Association regulates the practice of Architecture in the province of Alberta for the protection of the public and the administration of the profession.
