We have an new opening for a Bid and Tenders Specialist. They are responsible for coordinating and managing the end-to-end process of preparing, submitting, and tracking bids and tenders for SECCAN. This role requires strong in-depth knowledge of the bids and tenders’ processes. This role also required management skills, attention to detail, and the ability to work collaboratively with various internal departments to create compelling and competitive proposals.

**JOB DESCRIPTION**

MAIN TASKS AND RESPONSABILITES

1. Bid Preparation and Proposal Creation:

- Monitor & curate various RFP and bid websites.
- Analyze bid requirements, including scope, specifications, and deadlines.
- Collaborate with different departments to gather relevant information for proposal content.
- Develop proposal templates, outlines, and schedules.
- Write and edit proposal content, ensuring accuracy, clarity, and compliance with requirements.
- Craft persuasive and customized proposals that address client needs and showcase the organization’s strengths.
- Develop graphics, charts, and other visual elements to enhance proposal aesthetics and effectiveness.

2. Market Research:

- Research potential clients and competitors to identify market trends and gain a competitive edge.
- Review tender websites and other sources daily to identify opportunities in Canada to bid on all product lines.
- Stay updated on industry news, regulations, and emerging technologies that could impact bids.

3. Cost Estimation:

- Collaborate with finance and relevant departments to develop accurate cost estimates for projects.
- Ensure that cost proposals align with the technical and commercial aspects of the bid.

4. Compliance and Submission:

- Review and ensure all proposals comply with client requirements and guidelines.
- Coordinate the submission process, adhering to deadlines and submission formats.
- Maintain records of all bid-related documents and correspondence.
- Lead the pricing approval process

5. Client Engagement:

- Participate in pre-bid meetings, site visits, and client presentations as required.
- Address client inquiries and concerns during the bid evaluation process.

6. Post-Submission Activities:

- Track the status of submitted bids and tenders, providing updates to internal stakeholders.
- Gather feedback from clients on unsuccessful bids and use insights for continuous improvement.

KNOWLEDGE, AND ATTITUDE
- Proven experience in bid and tender management.
- Strong project management skills with the ability to handle multiple bids simultaneously.
- Attention to detail and the ability to work effectively under tight deadlines.
- Strategic thinking and problem-solving abilities.
- Negotiation skills for dealing with vendors, partners, and clients.
- Familiarity with proposal management software is advantageous.

**REQUIRED SKILLS,**
- Diploma in administration, Marketing, Engineering, or related field.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and collaboration tools.
- Bilingual (Major asset, French and English)
- Knowledge of contract law and procurement regulations is a plus.
