As a Procurement Specialist in the fire protection industry, you play a crucial role in ensuring the safety and compliance of fire protection systems within our organization. Collaborating closely with client departments, you prepare detailed specifications, manage vendor criteria, and oversee the tender process. Your expertise in purchasing, negotiation, and contract administration contributes to the effective management of fire protection services.
**Responsibilities**:
- Work alongside client departments to create detailed specifications and related documents for fire protection systems.
- Assist in defining acceptable vendor criteria.
- Coordinate the calling of selected and advertised tenders, ensuring uniform distribution of information.
- Analyze bids based on price, quality, quantity, availability, and past performance. Independently or collaboratively, interview suppliers to negotiate favorable price discounts, terms, and delivery methods.
- Determine the most suitable source of supply for fire protection equipment and services.
- Draft contract language based on established precedents and gather necessary information from various sources
- Review all tenders, requests for proposals, and contracts to ensure proper purchasing treatment.
- Verify required insurance and bonding certification.
- Administer and monitor awarded product and service contra
- Conduct research and analysis on fire protection products and services.
- Prepare comprehensive reports and recommendations related to purchasing decisions.
- Provide assistance to client departments regarding purchasing matters.
- Liaise with external and internal contacts, including engineers, architects, project managers, contractors, suppliers, and legal professionals.
- Maintain effective working relationships to facilitate successful procurement processes.
- Maintain accurate purchasing records.
- Prepare summary statistical and information reports as needed.
**Qualifications**:
- Completion of post-secondary degree with a specialization or supplemented by courses in a recognized purchasing program (e.g., Supply Management Training program of the Supply Chain Management Association).
- Considerable knowledge of purchasing policies and procedures.
- 5 + years of experience in supply chain management or procurement
- Experience with sources, quantities, types, and prices of building services or fire protection products and services a plus.
- Understanding of market conditions, price trends, business factors, and relevant regulations.
- Sound knowledge of contract law, negotiation techniques, and corporate insurance.
- Ability to evaluate quality, price, and service factors to make informed purchasing decisions.
- Strong interpersonal skills to establish and maintain effective relationships with internal and external stakeholders.
- Proficiency in preparing specifications and monitoring contracts.
- Analytical mindset for studying market conditions and providing purchasing recommendations.
- Valid Driver’s License
