**Clerical Assistant, Objective Structured Clinical Examination and Curriculum Support, Medicine**:
**Primary Purpose**: The primary purpose of this role is to support the work of the Senior Administrative Coordinator; working collaboratively with Year Chairs, Regina campus staff, the CLRC and Dilawri Simulation Centre staff to support student orientation, OSCE’s, and tutor recruitment. The other portion of this role will support the Administrative Coordinator; Curriculum Integration and Evaluation manage Pre-Clerkship Foundation courses and Examsoft.
**Nature of Work**: This position will report directly to the Manager, UGME and work collaboratively with the Senior Administrative Coordinators for daily tasks; with input from the Year Chairs, Pre-Clerkship and Clerkship Admin, and Year Chairs.. This position is part of a team of UGME support staff that work with faculty in the delivery of both pre-clerks and clerkship students.
With mínimal supervision, the position requires independent judgment, and the ability to shift deadlines and/or priorities. The position will be privy to confidential, sensitive student information and requires considerable discretion. In addition, the incumbent will be required to model and adapt practices to solve complex scheduling requests. The role requires the incumbent to physically located in the UGME, College of Medicine.
**Typical Duties**:
Senior Administrative Coordinator:
- Support role for in-person and virtual delivery of Orientation and OSCE’s; includes organization of schedules, event debrief meetings, minute taking, photocopying, delivery, catering, room booking, video conferencing, Zoom, and tutor payment.
- Distribution of communication to students, faculty, and staff.
- Collection and storage of required forms and documents
- Update SharePoint, One45 (Course Build), and Canvas for orientation and OSCE’s.
- Other duties as assigned.
Administrative Coordinator; Curriculum Integration and Evaluation:
- Send weekly reminders & Consent to Record notices for faculty teaching within the Foundations Modules
- Post lecture notes and recordings on Canvas
- Organize & create small group sessions in One45
- Take attendance for sessions
- Submit tickets for room booking and ICT support
- Book various types of meetings
- Manage patient voice sessions for Cardiovascular Module
- Other duties as assigned
**Qualifications**
**Education**: A Business Administrative Certificate or secretarial diploma is required. A Bachelor’s Degree in a related health field or educational setting is considered an asset. A combination of education and experience may be considered.
**Experience**: 1-3 years of related, administrative experience is required. Strong comfort level with data base software will assist in success in the role.
**Skills**: Usask software programs such as One45 and Canvas, as well as the Microsoft Office Suite.
