Reports to: Investment Advisor

**Profile Summary**

The Administrative Assistant is responsible for providing administrative support to the Advisor for the purpose of maintaining client relationships and providing excellent customer service. Successful individuals are highly detail oriented, creative and self-motivated with the ability to identify and resolve situations with mínimal guidance. They can multitask, and work within deadlines with effective time management and communication skills.

The Administrative Assistant is a critical member of the team providing friendly, professional service and a welcoming environment. Together with the Investment Advisor, your primary objective is to help the clients achieve their financial goals.

Advancement opportunities exist for those willing to pursue further education.

**Primary Duties**

Follow up on all transactional and compliance related paperwork pertaining to opening and ongoing maintenance of client investment and insurance accounts.

Assist with resolving all aspects of incoming/outgoing client service-related issues including booking appointments, transactional items, and other related tasks as required.

Meet and develop relationships with existing and prospective clients and assist with meeting their needs by actively listening and documenting hobbies, plans and goals.

Carry out customer service initiatives such as newsletters, cards and gifts.

Prepare professional correspondence and reports as needed.

Input, maintain, import/export data, create and execute processes within CRM software.

Assist in Office Administration working together with other assistants to create a smooth-running office.
