**Position Summary**

Under the direction of the Manager of Accounting, the Administrative Assistant is responsible for performing a wide range of administrative functions while providing support to the accounting department. This is a temporary part-time position.

**Responsibilities**:

- Serve as the primary receptionist, greeting visitors and managing incoming calls.
- Maintain an organized and efficient office environment by managing office supplies, equipment, and facilities.
- Facilitate travel arrangements for technicians, ensuring timely bookings and itineraries.
- Coordinate with external IT department to address technical issues and support the organization's technology infrastructure.
- Manage shipping coordination and paperwork for local, national, and international shipments.
- Responsible for maintaining Accounts Payable records, including accurate and timely processing of invoices and payments.
- Create and issue purchase orders and invoices for Accounts Receivable, ensuring accuracy and compliance with company policies.
- Generate Purchase Orders and match invoices to Purchase Orders, verifying the correctness of pricing, quantities, and terms.
- Review and allocate employee timesheets to specific projects, ensuring accurate tracking of labor costs.
- Perform bank and credit card reconciliations to maintain financial accuracy and compliance.
- Other duties as assigned.

**Required Experience and Qualifications**:

- Diploma in Business Administration or Accounting is preferred, with a minimum of 1 year experience.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and handle multiple tasks efficiently.
