**PRIMARY RESPONSIBILITIES**

The Purchasing & Print Associate is responsible to assist with the procurement of products and services, the issuance of tenders and pricing proposals, obtaining quotation requests, and the efficient operation of the digital copier, including the timely assembly and distribution of the print output for the various print requests.

The incumbent is required to seek out high-quality goods and services at reasonable prices and liaise with suppliers to monitor supply orders, validate delivery schedules, and handle any order issues.

This role also involves maintaining and operating digital copiers, printers, bindery equipment and other equipment required to process print requests for staff.

In this position, the ability to multitask and remain organized to meet deadlines is key.

**PRINCIPAL DUTIES**

1) Assist with purchasing activities of TRREB, including identifying and sourcing new vendors, equipment, supplies, and services.

2) Ensure product availability and timely delivery schedules for all products and services and maintain a database of approved suppliers.

3) Negotiate and assist with purchasing agreements/contracts in conjunction with the Purchasing Coordinator and internal TRREB team, ensuring compliance with TRREB legal requirements and payment terms.

4) Develop and maintain strong relationships with key suppliers and vendors and work with them to achieve continuous improvements in costs and performance.

5) Assist the Purchasing Coordinator with the preparation and distribution of Requests for Proposals as required.

7) Be familiar with products and services, ensuring an appropriate level of product and service knowledge.

8) Assist with the tagging of capital assets with bar codes, capital asset disposals, and the annual capital asset count, ensuring compliance with TRREB Policy and proper approvals.

9) Process purchase requisitions and purchase orders, including input into the financial accounting system (Sage).

10) Provide assistance with the storage of all contracts for the organization in a central depository that is accessible to authorized staff and help maintain a detailed log of contract details and maturities so to ensure that.

11) Provide proper and ample notice to internal TRREB staff to ensure the timely renewal or cancellation of contracts.

12) Handle the processing of office supplies and other purchases through Grand & Toy, Eway, Amazon, etc.

13) Act as backup for the Purchasing Coordinator in their absence.

14) Operate and maintain the commercial copier, printer and binding equipment to process staff print requests, downloading and manipulating staff files as required and utilizing various sizes of paper and layout structures.

15) Handle equipment problems and perform maintenance, including placing equipment service calls and interacting with service providers.

16) Maintaining files relating to print jobs in electronic format in an organized central depository as required and distribute print materials to staff in accordance with deadlines and as directed on print requests.

17) Operate a variety of print equipment, including commercial printers, binding, punching, cutting, collating, perforating, labeling, booklet making and folding equipment.

18) Maintain record of print jobs performed.

19) Perform print counts for all TRREB printers and submit for invoicing as required.

20) Maintain adequate physical inventories of printing supplies and paper stock to avoid delays in processing print requests.

21) Order stock and supplies from outside vendors ensuring proper approvals.

22) Maintain a clean, orderly and safe work area and clean equipment as required.

23) Handle member print jobs placed through the REALTOR® Store.

24) Assist in the set-up and teardown of retail operations at REALTOR® QUEST, including re-stocking shelves and packing product for transport.

25) Assist with TRREB special events, including on-site assistance at the event as required.

26) Perform other duties as assigned from time to time.

**REQUIREMENTS**

**Education**:

- College diploma or bachelor's degree in graphic production or related field.

**Experience**:

- 3+ years' experience in digital print operations or purchasing.
- Must possess a good working knowledge of Microsoft office and familiarity with digital printing software, such as Fiery and Canon software.
