As the Assistant Registrar, Registration & Student Success, you will be responsible for coordinating and supporting medical students’ registration and progress in the academic program. Reporting to the Director, Enrolment Services & Faculty Registrar, you will work collaboratively with the MD Program’s Faculty Lead, Academic Support, curriculum staff and Academic Directors to monitor, identify, and advise medical students who are academically at-risk. You will ensure that medical students who are academically at-risk will receive adequate support and resources to successfully complete their degree. Additionally, you will support a range of registrarial and administrative duties including, but not limited to, preparing reports, planning registration and enrolment activities, maintaining student records, and planning and executing the MD Program’s Pre-convocation and Convocation ceremonies

**Your responsibilities will include**:

- Advising students on program, course, and registration requirements by probing and providing a range of options and possible consequences
- Informing students of their academic standing in relation to their compliance with the MD program’s unique registration requirements
- Providing proactive support to individuals in distress and making referrals to specific University services
- Identifying changes to student records that affect their academic standing and correcting status as required across various student information systems used in the medical school
- Supporting operational needs and service delivery requirements, including supporting students’ access (entry fob) and locker requests
- Analyzing processes and recommending changes for more efficient coordination of registrarial services
- Advising MD program, departmental, and academy contacts on the interpretation of MD Program policies, rules and regulations
- Producing complex statistical information to support enrollment planning and directing the activities of a single ongoing staff-appointed employee

**Essential Qualifications**:

- Bachelor's Degree or acceptable combination of equivalent experience
- Minimum four years of progressive related experience in a student services/ academic environment
- Experience advising academically at-riskstudents and providing strategies for improving academic performance
- Demonstrated experience assessing student academic records
- Experience working with diverse communities and student groups
- Experience creating and/or editing original, published content and materials
- Demonstrated experience analyzing data, producing statistical reports and working with data visualization tools
- Experience coordinating events
- Advanced proficiency with MS Office Suite, web conferencing platforms (i.e. zoom) and survey tools
- Demonstrated experience working with ROSI and production requests
- In depth knowledge and understanding of student registration and enrolment processes
- Strong student service orientation
- Excellent project management skills, accuracy and attention to detail, and ability to communicate effectively with internal and external stakeholders
- Proven relationship management, teamwork, and organization skills
- Ability toexercise good judgment, discretion, and tact and maintain a strict standard of confidentiality
- Ability to work occasional evenings

**Assets (Nonessential)**:

- Knowledge of the MD Program, academy andcampus structures, policies and procedures, resources and student demographics
- Understanding of medical education and CaRMS/ERAS processes
- Experience supervising staff
- Familiarity with Elentra, Mailchimp, Qualtrics, Quercus, and MedSI
