**About the team**
The Saskatchewan Teachers’ Federation Professional Learning unit creates and provides professional learning opportunities and resources for the teaching profession in Saskatchewan. They support the professional development of Saskatchewan teachers by planning and facilitating a wide range of professional growth opportunities.
**What you’ll do**
The administrative assistant is responsible for the administration and office support of Professional Learning programs and services. The position has specific administrative responsibilities for an activity or activities within a work unit and work under mínimal supervision.
Responsibilities include:
- Provide administrative support to Director and Associate Directors.
- Drafting and proof-reading reports, preparing workshop materials, providing admin support for virtual professional learning sessions, decision items, and other documentation for review by work unit leader.
- Administrative support to external contracted services, including creating processes and tools for tracking budgets and workload, tracking expenses, and maintaining a professional relationship with clients.
- Support committees as assigned; coordinate meeting dates, book meeting rooms, prepare documentation, organize refreshments and meals.
- Compile, proof-read and prepare resource materials for professional learning sessions.
- Provide support to the annual budgeting process, including data entry and tracking expenses.
- Review/code all invoices and bring any items of concern or question to the attention of the Director of STFPL.
- Prepare and proofread correspondence, drafts, meeting documentation, reports and publications.
- Create and maintain work unit procedural manuals and checklists.
- Input provincial workshops and event information in the registration system.
- Provide logístical coordination and administrative support for workshops, programs and conferences.
- Correspond with professional learning partners to confirm attendance, requirements and provide information on expenses,
- Coordinate the production, design and distribution of supporting documentation, promotional materials and web updates with design/production unit as required.
**What you’ll bring**
- Completion of a one-year business course combined with 2-3 years of increasingly responsible administrative experience.
- Proficiency in the use of MS Word, Excel and PowerPoint is required.
- Interpersonal skills to develop and maintain effective working relationships with all staff.
- Demonstrated ability to work effectively as a member of a team.
- Ability to interact effectively with people either in person or by telephone.
- Demonstrated ability to effectively organize own work and produce effective results.
- Demonstrated initiative in undertaking assignments and completing work.
- Demonstrated client service skills.
