- **JOB SUMMARY**_

The Operations Manager is a dynamic role that reports directly to the Executive Director. They oversee the execution and reporting of all government/non-government grants and provide critical operational and administrative support to the ACT team, Executive Director, and Board of Directors. As a skilled project manager, they oversee the meticulous use of the program data to ensure operational transparency and ethical use of restricted funds.

- **DUTIES & RESPONSIBILITIES**_

The Operations Manager will be crucial to the effective functioning of ACT, managing daily operations, ensuring compliance with regulations and grant restrictions, and supporting the leadership team. Responsibilities include:

- Grant Reporting: _
- Ensure accurate and timely reports to provincial entities, including financial and narrative reporting.
- Oversee all grant and financial reporting in coordination with the Executive Director and Controller.
- Respect the financial objectives of the organization by adhering to budgets set by the grantors/funders, ensuring expenditures are being directed to the designated areas.
- Board and Executive Support: _
- Handle all Board-related administrative tasks, from scheduling to finalizing minutes.
- Assist with the Executive Director's scheduling and administrative needs.
- Support key events such as the Annual General Meeting (AGM).
- Adapt to the dynamic needs of a growing organization, occasionally supporting various projects.
- Process Management:_
- Develop, implement, and maintain processes across departments, including donor and volunteer management.
- Regularly review and enhance processes to ensure efficiency and regulatory adherence.
- Coordinate training for staff and volunteers on regulations and/or processes affecting their roles.
- Operations Management: _
- Oversee operational infrastructure, from SaaS platforms like Payworks and Salesforce to IT equipment.
- Renew and oversee insurance policies, benefit packages, and regulatory filings.
- Maintain accurate and accessible records, from meeting minutes to financial statements.
- Ensure document security and transparency, including accountability for ACT’s SharePoint sites.
- Regulatory Compliance:_
- Ensure all organizational activities, from fundraising events to program delivery, align with Alberta's non-profit regulations.
- Stay updated on legal changes, ensuring timely adaptation.
- Identify and strategize against potential operational risks related to compliance, finance, or reputation.
- Organize internal and external audits, providing necessary materials. Implement changes based on audit findings.

- **QUALIFICATIONS**_

**Education**:

- Bachelor or advanced degree in business administration, non-profit management, or a related field.
- Additional training or certification in regulatory compliance or risk management is an asset.

**Experience**:

- A minimum of three (3) years in operations, preferably within the non-profit sector.
- Familiarity with the intricacies of non-profit operations in Alberta, including grant management.
- Demonstrable experience in regulatory compliance and process management. Proven track record of managing and improving operational processes.
- Familiarity with SaaS platforms such as Payworks, Salesforce, and Office 365 is required.

**Abilities**:

- Strong leadership and organizational skills, with an ability to prioritize tasks effectively.
- Excellent analytical skills to assess processes and suggest improvements.
- Effective communication skills to liaise with different departments, external partners, and funders.
- Detail-oriented, ensuring accurate and transparent documentation.
- Adaptable and flexible, with the ability to respond quickly to changes in organizational needs.
