About the Role

Aterlo Networks is seeking an Administrative Assistant. This role will wear many hats, providing excellent customer service to internal and external stakeholders. Areas of focus include administrative and operational support to our Customer Success, Finance and People Experience teams.

**Responsibilities**:

- Own the appliance shipping process, including creating invoices, initiating and tracking shipments and creating tickets in Hubspot
- Utilize excellent communication and customer service skills to provide high-level administrative support including scheduling meetings, booking travel arrangements and handling customer correspondence
- Responsible for accounts payable and receivable activities, including entering customer invoices in Stripe, matching customer payments to invoices in QBO, entering vendor bills into QBO and monitoring upcoming vendor bills
- Prepare summaries for sales taxes owing on a monthly/quarterly basis as required
- Manage employee expenses process
- Oversee employee lunch program, ordering lunches and issuing UberEats vouchers on a weekly basis to ensure team members are well fed
- Assist with employee onboarding activities, including maintaining and updating hardware inventory and preparing new hire equipment and SWAG
- Support the planning and execution of biannual team social events

**Requirements**:

- 2-3 years experience in a clerical/ administrative role
- Excellent communication skills, with the ability to speak to customers and resolve questions and concerns professionally
- Aptitude for figures and accuracy
- Highly organized and obsessed with details
- Thrives in a fast-paced environment with lots of variety and shifting priorities
- Bring a ‘can-do’ attitude and have a willingness to stretch up and down in the role as required
- Poise, confidence and maturity in dealing with key stakeholders and customers

- Previous experience working with Stripe, QBO and Hubspot
- Completion of bookkeeping, accounting or an office administration course
