Payroll and Accounting Clerk

**Position Purpose**: The Payroll and Accounting Clerk is responsible for the accurate and timely processing of financial matters, computer data entry and paperwork as a supporting role within the accounting department. Responsible for large volume expense processing, ensuring adherence to expense policies, detecting inconsistencies and completing payments. This position requires attention to detail, concern for quality and accuracy and the ability to work in a fast-paced work environment.
**Job Results and Responsibilities**:
**Payroll**:
- Process bi-weekly payroll for all salaried and hourly employees.
- Ensure accurate calculation of wages, overtime, deductions, and other payroll-related items.
- Prepare and distribute paychecks or direct deposits to employees in a timely manner.
- Compile payroll data such as vacation time, insurance and other deductions.
- Address payroll-related inquiries from employees and management, providing excellent customer service.
- Ensure that hours are categorized and allocated to correct cost centers.
- Contact supervisors for any missing information.
- Create required internal management reports from the payroll system.
- Maintain employee profiles, ensuring that they are up to date.
- Ensure all wage changes are made accurately and in time for affected pay periods.
- Follow payroll procedures for terminated employees.
- Administer employee group pension plan.
- Stay current with payroll regulations, standards and work methods.
- Verify pay slips count with employee count and ensure the timely distribution payroll.
- Reconcile payroll totals and ensure all deductions, health benefit plans and pension plan are made.
- Ensure accurate processing of sick pay, benefits and vacation payouts.
- Respond to employee and government agency inquiries in regard to payroll.
- Ensure the creation and timely distribution of T4s.
- Adhere to all policies and follow established procedures.
- Participate in required meetings, providing input and recommendations.
- Ensure taxable benefits are accurately tracked and accounted for.
**Accounting**:
- Accepting & Depositing rent payments.
- Prepare social assistance payments, post-secondary living out allowance, and band distribution payments.
- Assist with monthly balance sheet reconciliations.
- Assist with Accounts payable and Accounts receivable.
- Assist with annual finance audit.
- Assist with special projects and other duties as assigned.
**QUALIFICATIONS**:
- Minimum 1 year working experience in accounting and or payroll processing required with relevant academic education preferred
- Demonstrated knowledge of payroll and payroll tax laws required.
- Demonstrated knowledge of clerical accounting and bookkeeping procedures.
- Demonstrated knowledge of payroll processing procedures.
- Knowledge of standard office procedures and practices.
- Strong mathematical skills and proficiency with computers
- Clear written and verbal communications.
- Organize and write procedures in a logical/methodical manner.
- Good time management skills and attention to detail.
- Work well in a team environment.
- Able to maintain confidentiality at all times.
- Effective communication skills with all employees and management at all levels of the organization.
- Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
- Strong work ethic and positive team attitude.
**Hours of Work**
Regular office hours are from 8:00am. to 4:00pm for 7 hours per day. Your regular hours of work will be from 8:00am - 4:00pm. Monday to Friday and it is expected that all work will be completed within your regular working hours, however, you may be required from time to time to work outside your normal hours of work and flex time accordingly.
**Working Conditions**
- Ability to attend meetings and conduct presentations.
- Manual dexterity required to use desktop computer and peripherals.
- Sitting and using a computer for extended periods of time.
**Job Types**: Full-time, Permanent
Pay: $28.00-$35.00 per hour
Expected hours: 35 - 40 per week
