Clinical Services Administrator

Job Overview:
We are seeking a Clinic Services Administrator who provide a high level of administrative and client support at the Safe Centre. In addition, the incumbent is responsible for creating a warm and supportive environment for clients and partner agency staff. The incumbent will manage crisis and triage the need to the appropriate service partner.
**Responsibilities**:
- Provide support to clients in crisis and conduct screening for risk to triage callers to the appropriate level of intervention.
- Provide internal referrals to agency programs.
- Provide information on community resources appropriate to clients' identified needs.
- Notify client regarding appointment availability, including booking appointments and cancellations when necessary.
- Assist and collect client fees, and client or third-party billing as required.
- Providing reception back-up as needed.
- Assist with fee payments, banking deposits, petty cash, and cheque requisitions.
- Perform general administrative duties to include but not limited to photocopying, scanning, faxing, mailing, ordering business cards, shredding, filing and courier.
- Collect and record fees, complete daily balance sheets and other client fee reports as required.
- Maintain office petty cash box with supply of public transit fares.
- As designated, prepare bank deposits with other designated staff.
- Develop and maintain an accessible database and filing system of agency document templates.
- Track, maintain, and update program specific client counts.
- Provide additional administrative support to management, as required.
- Provide IT and administrative support at agency staff events, as required.
- Maintain and purchase office supplies as required within program and agency budgets.
- Ensure all office equipment is maintained in good working order and arrange for appropriate service calls as required.
- Assist with maintaining an orderly and welcoming office environment.
Qualifications:
- Post-secondary diploma/degree in a related social service discipline or equivalent experience.
- Must possess 2 + years of office-related experience.
- Demonstrated understanding of the dynamics of intimate partner violence.
- Ability to engage and connect with clients in crisis and efficiently connect them with the appropriate level of support.
- Working knowledge pertaining to modern office methods and procedures, equipment and filing systems.
- Exceptional organizational skills with ability to meet deadlines and manage multiple priorities.
- Demonstrate positive interpersonal skills, and ability to work in a team environment.
- Demonstrated decision-making ability in crisis situations.
- Detail oriented with ability to check documents for accuracy.
- A satisfactory Vulnerable Sector Criminal Records check.
- A valid driver’s license, access to a reliable vehicle and relevant insurance.
