Trinity Hill Top Day Camp is looking for enthusiastic, responsible and experienced post secondary students to carry out administrative tasks relating to Trinity Hill Top (THT) Day Camp, which includes developing themes for each of the eight (8) weeks, booking venues and transportation as required, assisting with Camper Registration, and keeping weekly statistics about various aspects of the THT Day Camp. They will also assist the Camp Director in developing and implementing marketing plans for the day camp, as well as designing, documenting, and carrying out the training of the Day Camp staff prior to the arrival of the Campers.

The Marketing and Administration position is 35 hours / week, beginning with a week of training during the week of May 06th and working through to August 23rd, 2024.

**BASIC REQUIREMENTS**
- Be fully vaccinated against Covid and in compliance with the Diocese of Toronto policy;
- 1 - 3 years summer day camp experience as a counsellor, or equivalent related experience is preferred.
- College or university student who has a background in Marketing or Administration studies.
- High energy, enthusiasm, and creativity when working with children
- Caring individual with excellent communication and people management skills
- Ability to manage multiple flights of stairs in a multi-level camp environment
- First aid & CPR training
- Must have valid criminal record check with vulnerable sector screening by the start of the position, (Provided and facilitated)
- Participation in staff meetings as required;
- Ability to work well as part of a team

**MAJOR RESPONSIBILTIES**
- Full responsibility and accountability of a Marketing program to promote and maximize visibility and awareness of Trinity Hill Top Day Camp in the Barrie Community.
- Work with the Trinity Hill Top Camp Director and Camp Committee to design, cost and implement a marketing strategy to maximize camp attendance.
- Implement the strategy within budget guidelines as approved by the Camp Committee and Trinity Board of Management.
- To develop short term marketing strategies for several special events during the summer.
- To begin to develop strategy to grow and enhance Trinity’s profile in the community.
- Be pleasant and sensitive to all seeking camp information in person or over the telephone.
- Assist the Camp Director and other staff with typing, photocopying, booking appointments, filing, and letters and other administrative needs such as directed.
- Handle all incoming camp-related mail and respond to mail as necessary.
- Print and prepare letters and envelopes for camp related mailings.
- Assist Camp Director in ordering and receiving supplies.
- Assist Camp Director in booking camp outings and related transportation.
- Assist in the collection of camp attendance and financial data and preparing of reports.
- Attend all weekly camp staff meetings and regular supervision meetings.
- Work closely with Camp Director and Senior Leader to ensure that government grant regulations are being adhered to daily.
- Insure that Counsellors are providing accurate timesheets and maintaining all records required for grant compliance
- Ensure that policies, procedures and forms are kept up-to-date, clearly stored and labeled both digitally and in a binder.
- Post camp bulletin board materials and keep the board neat and up to date.
- Monitor cleaning of camp facilities and inform the Camp Committee of any cleaning concerns.
- Monitor and update THT website and Facebook page.
- Monitor the Day Camp budget and expenditures.
- Provide weekly Financial Summary to Camp Committee and Administrator or designate.
- Ensure that Counsellors timesheets are completed weekly and provided bi-weekly to Parish Accountant for payroll.
- Provide Day Camp expense invoices to Camp Committee or Supervisor for approval.
- Manages the Day Camp float, ensuring that it is reconciled on a weekly basis.
- Accept Day Camp payments and issue receipts.
- Forward Day Camp Registration payments and donations to the Treasurer for deposit.
- Perform other duties as approved by the Camp Director, and Supervisor or designate.
