Summary of Position:
The Sales & Distribution Support Specialist is responsible for daily management of end-to-end processes related to order processing, inventory returns/adjustment, invoicing, promotion setup, customer service and reporting related to all Coldhaus Direct portfolio products. The Sales and Distribution Support Specialist will provide a high level of customer service and communication with supplier partners, customers, and internal team members, ensure appropriate solutions & resolution for any issues in a timely manner, and gatekeep process controls and compliance.

Duties & Responsibilities:
Act as the main point of contact for all suppliers, customers, sub distributors, and sales representatives (e.g. invoice inquiry, delivery, and technology).

Ensure all necessary communication, updates, and changes are provided to the appropriate internal and external team members, sub distributors and members of our brands.

Support order processing, including customer setup and maintenance, product/SKU maintenance, pricing/promotion creation and updates, purchase order & invoice management and reconciliation, inventory adjustment, and proof of delivery (POD) tracking.

Validate and maintain the integrity of all customer data in Encompass (ERP system), execute all changes to internal customer data and ensure information is accurately recorded.

Assist sales representatives and sub distributors with new route configurations, invoice issues, and customer configuration issues. Manage and resolve all import conflicts and errors.

Ensure all data is accurate when entering promotion details on Encompass and create reporting for billbacks/rebates.

Resolve any invoice, POD, promotional errors, invoice discrepancies and inquiries from customers and sub distributors.

Execute Daily EDI verification processes. Work in partnership with the IT team to manage, correct, and reissue invoice reversals for EDI transactions.

Work in partnership with the Account team to provide weekly remittances to the sub distributors and monthly Encompass (ERP system) invoices.

Provide consistent updates on issues throughout the day to internal and external team members on matters such as routing issues, new account set ups, and sub distributor payment issues.

Facilitate monthly touchpoints with suppliers and distributors as needed, to discuss invoicing and payment issues, new program launches, tracking on promotions and specialty programs.

Manage ongoing education and implementation of tools/resources for sub distributors as it pertains to account and banner changes.

Develop and maintain key reporting metrics for suppliers, such as: sold to change report, invoicing/payment report, weekly and monthly sales, movement, and tax reporting, and promotional calendars and tracking for all programs.

Support pre-sell/inside sales function by calling on customers and setting up orders in advance of delivery schedule.

Other duties as assigned.

**Requirements**:
Three (3) years of customer service or related experience preferred.

Previous distribution experience is considered an asset.

Exceptional ability to interact with clients in a professional, prompt, courteous and effective manner.

Embody a strong sense of leadership, accountability and integrity.

Demonstrated ability to plan, prioritize, multi-task and manage time effectively.

Excellent communication skills, both verbal and written and must be skilled in exercising proactive communication.

Must possess strong detail orientation and accuracy in a high volume and fast paced environment.

Exceptional problem-solving skills, and the ability to work in high pressure situations.

Enjoys working collaboratively in a team setting, while also taking the initiative to implement better practices and recommend value-added changes independently.

Must be highly competent using relevant computer software (Windows, Outlook, Word, Excel) and have a strong base in using sophisticated ERP software (Encompass experience an asset).
