Reporting directly to the Associate Registrar, Records, Registration and Scheduling, the Analyst identifies, designs, manages enhancements, collects, stores, analyzes and preserves the Enrolment and Graduate Data Repositories. From this repository, the Analyst fulfills all enrolment and graduate-related business needs and reporting requirements as identified in the Ministry of Colleges and Universities (MCU) Strategic Management Agreement 3 (SMA3) at designated reporting periods throughout the year. The Analyst is responsible for using the repository current and historical data to support a wide array of internal and external analysis, forecasting and enrolment planning for reporting purposes. The Analyst is responsible for understanding data requests leveraging Office of the Registrar (OTR) related data from business users and creates standard or ad-hoc queries to fulfill the requests with appropriate documentation based on standards. Annually, the Analyst manages the external Auditor’s engagement of enrolment and graduate data submitted for SMA3 reporting. The Analyst supports the preparation of enrolment data for financial audit and provides explanation of the data to senior Finance leaders and the External Auditors during the audit process.

What You’ll be Doing

Overseeing and managing the planning, generation, analysis, testing and reporting of student enrolment and graduate data on a term-by-term/annual basis in response to enrolment reporting and audit procedures identified by MCU;
Creating, analyzing, and validating enrolment and graduate reports that are audited by an external auditor, and submitted to the Province of Ontario for the purposes of obtaining funding for the college, and providing data to Statistics Canada and to the OCAS Data Warehouse;
Planning and preparing for the annual audit of student enrolment and graduate files as mandated by MCU;
Provides explanations and understanding of various reports from MCU database;
Supporting ad-hoc data requests relating to Enrolment and Graduate-related data to OTR and other departments;
Supporting requests from Faculty and Program Co-Ordinator’s for enrolment and graduate details in response to program review and program accreditation;
Researching, analyzing requirements, designing, testing and coordinating IT development for new submissions and reports for both external and internal clients;
Ensuring user requests are accurately defined so that output fully meets user expectations; providing a fulsome explanation of data provided to accompany the output;
Educating users on how data and data fields are used in reporting and providing one on one or group training on how to accurately update the repository;
Performing other related duties and/or Special Projects, as assigned.

Must have a minimum 4-year degree in Computer Science, Structured Systems Analysis and Relational Database Technologies, Business Administration or other related field

Must have a minimum of 5-years of relevant experience with data management and analysis, business requirement identification and process analysis, collection and storage of data including development of information management processes, preferably within a higher education or related public sector (equivalency will be considered)

Understanding of Oracle tables and relational databases and file types

Basic level proficiency with Hyper Text Mark-up Language

Intermediate level proficiency with Structured Query Language SQL

Proficiency with Extensible Markup Language XML

Advanced proficiency with Excel

Ability to create ad-hoc queries using Query Manager

Knowledge of Business intelligence tools such as Tableau or Microsoft Power BI
