**The opportunity**:
The Accounts Payable Administrator role is critical in the success of the organization’s daily activities and overall performance. This team player will maintain a strong rapport with our internal and external stakeholders ensuring all accounts payable invoices and contracts are accurately and timely coded and entered in the systems and the respective payments are processed in compliance with payment terms, applicable company policies and procedures and Generally Accepted Accounting Principles. The administrative aspect of the role will focus on general accounting and administrative support.
**Primary Responsibilities**
Accounts Payable Administration
- assemble, review and verify invoices, contracts/agreements, payment requests, and the associated supporting documents
- flag and clarify any unusual or questionable invoice items or prices
- sort, code and match invoices
- set invoices up for payment
- enter and upload invoices into ERP system
- track expenses and process expense reports
- prepare and process electronic transfers and payments
- prepare and perform check runs
- post transactions to journals, ledgers and other records
- reconcile accounts payable transactions and vendors statements
- prepare analysis of accounts
- monitor accounts to ensure payments are up to date
- research and resolve invoice discrepancies and issues
- correspond with vendors and respond to inquiries
- produce monthly reports
- assist with month end closing
- provide supporting documentation for audits
- maintain accurate historical records
- maintain confidentiality of organizational information
- assist in month end closing cycle, generation of management reports and the preparation and reconciliation of costs, asset, liability, and capital accounts by compiling and analyzing accounting information
**Secondary Responsibilities**
Accounting and administrative support
- Complete accounting activities including accounting entries, reconciliations and reports
- Assist with accounting projects as required
- Miscellaneous accounting and administrative support as needed
**Education and Work Experience**
- Post-secondary education; Diploma/Certificate/completed courses in Accounting
- Knowledge of accounts payable processes, general accounting principles and administrative procedures
- Knowledge and experience of relevant accounting software
- 3+ years of accounts payable, general accounting and administrative experience
**Qualifications and Skills**
- Highly organized with significant attention to detail and accuracy
- Excellent time management and multitasking skills with the ability to consistently meet tight deadlines
- Critical thinking, problem analysis, problem solving, and decision making skills
- Must practice confidentiality of information
- Highly developed interpersonal communication skills and ability to work collaboratively with all members of the organization and establish positive and effective working relationships with internal and external stakeholders
