**OFFICE MANAGER**

**RESPONSIBILITIES**
- 1._ _OFFICE OPERATIONS AND ADMINISTRATIVE SUPPORT:_

a. Provide a professional and welcoming atmosphere for clients, visitors, and employees.

b. Oversee daily office operations (office supplies, equipment etc.)

c. Manage suppliers and negotiate contracts for office services and supplies.

d. Maintain an awareness of the latest administrative practices and oversee implementation.
- 2._ _BOOKKEEPING AND FINANCIAL ADMINISTRATION:_

a. Manage financial records, accounts payable, receivable, invoicing, and budget tracking etc.

b. Prepare regular financial reports, and forecasts for internal review.

c. Monitor and control office expenses, ensuring budget controls.

d. Coordinate with project managers to track project related financials as requested.

e. Coordinate with office’s external accountant to prepare accurate financial reports.
- 3._ _HUMAN RESOURCES:_

b. Assist during regular employee evaluations. Maintain a record of these meetings as well as all personnel records.

c. Provide guidance and support to employees regarding HR policies, procedures & benefits

d. Be present to address employee concerns and grievances

**QUALIFICATIONS**:

- Relevant experience as an Office Manager or in a similar administrative role. A university degree is an asset.
- Knowledge of (or an openness to learn) the regulations governing architectural practices.
- Familiarity with human resources practices
- Experience with bookkeeping, budgeting, and financial reporting.
- Proficiency in office software and systems, including MS Office Suite and project management tools.
- Excellent organizational and multitasking skills, with the ability to prioritize and meet deadlines.
- Exceptional attention to detail and problem-solving abilities.
- Excellent communication and interpersonal skills to effectively collaborate with team members, clients, and external stakeholders.

- Monday to Friday

Ability to commute/relocate:

- Westmount, QC H3Z 1N1: reliably commute or plan to relocate before starting work (required)

**Education**:

- Bachelor's Degree (preferred)
