**Description**
The **Faculty of Veterinary Medicine** is currently seeking a Full-time Regular **Manager, Community Clinic**.
The Manager, Community Clinic will report to the Senior Director, Operations. The community care small animal clinic supports those who are experiencing barriers to accessing veterinary care. The aim of this clinic is to provide care that allows as many animals as possible to stay with their families while concurrently supporting student learning. Through the community care clinic, DVM students will directly interact with clients and pets.
This position is responsible for the successful day-to-day operations of the clinic, including managing clinic team members, inventory and ordering, and maintaining facility licencing. The Manager leads a team of clinical staff and ensures the clinic meets all operational and quality standards while delivering the highest level of customer service to clients and their pets. Working closely with the Community Care Veterinarians, the Manager will establish and maintain workflow and clinic operations, building clinic team roles, and ensuring the clinic functions as planned. As a teaching hospital, the Manager will work with the Community Care Veterinarians to ensure a smooth integration while balancing the equal priorities of patient care, client care, and student education.
**Summary of Key Responsibilities** (job functions include but are not limited to):
Operations
- Liaise with Community Care Veterinarians and the Associate Dean, Student Experience to ensure smooth curriculum integration and enhance the student experience
- Developing, managing and operationalising policies to manage the risk associated with clinic operations
- Oversee the daily operations of the clinic including reception, billing, scheduling, and medical records
- Develop, implement and maintain written operational policies and procedures
- Works with technician staff to complete equipment assessments, maintenance, inspection and purchases
- Ensure that all internal and external reporting is completed on time
- Maintain and promote confidentiality relating to all hospital, client and pet dealings
- Ensure the appointment schedule in the practice management system is maintained
- Work with Business Manager and Finance Partner to develop and update fee schedules
Leadership & Management
- Hire, mentor and train a team of clinic staff; defining expectations and assignments of tasks and responsibilities; conducting performance reviews
- Manage complex issues and challenging interpersonal interactions
- Provide onsite leadership and oversight of the clinic team to maximize overall business performance of the clinic
- Leads initiative and supports a collaborative culture within the team and the faculty
- Ensure regular contact with Director of Operations and Managers team to review team development
- Ensure all relevant agency (ABVMA, AAAHT, WHMIS, OHS, Employment Standards, WCB, Work Safe, etc.) requirements, rules and regulations are followed
Financial Performance & Reporting
- Develop budgets and business plans in collaboration with UCVM's Leadership Team
- Ensure the clinic operates within the budget
- Review the income statement in detail to ensure hospital financials are being reported accurately
- Attend manager meetings to discuss best practices and share financial successes and challenges
- Regularly review budget notes to ensure they are accurate and pertinent for the following years budget preparation
- Advise on budget adjustments and other cost improvement measures
- Collaborates with Director of Development and Community Care Veterinarians to secure funding and donated supplies
Engage Community Partners
- Strive in all aspects to enhance our partners experience and engagement with UCVM
- Develop new initiatives to engage community partners using available resources
- Ensure the interior and exterior of the clinic is of the highest standard and that our teams take pride in the image portrayed to our partners and their pets
**Qualifications / Requirements**:
- 7 years of experience in a veterinary practice setting is preferred, or 5-7 years of experience as a human health service administrator or equivalent.
- A minimum of two years of experience providing onsite leadership and management of a veterinary or medical health care team is preferred
- Experience with spectrum of care and customer service is preferred
- A DVM or RVT background would be considered an asset
- Knowledge of veterinary medicine, spectrum of care, and customer service is preferred
- Experience with patient record software is preferred
- Experience developing business plans, resource forecasts, and managing operational budgets is required
- Must have proven ability to work independently, effectively manage multiple projects and meet deadlines
