**Office Coordinator (Salaried) (.8 FTE; 4 days/week)**

This administrative position is an integral support to the counselling team of therapists who provide counselling services and consultation in the context of a diverse and multi-faith community. As a spiritually integrated counselling agency we honour and respect the diversity of persons, backgrounds and beliefs within our community.

We are seeking an individual aligned with the values of our organization who is positive, creative, and detail-oriented and interested in a part-time (30 hours/week) contribution to Shalom as Office Coordinator.

**Your responsibilities would include**:

- In a reception role, welcome and assist clients, including taking payments, providing information and creating a positive environment.
- Manage the overall general office support.
- Gather information to begin the initial intake process and other intake duties in consultation with the Clinical Director.
- Work in close partnership with the Executive Director, Clinical Director and the Business & Operations Director.
- Coordinate appointments, cancellations, reminders and maintain records in consultation with counsellors by using the client database, Penelope.
- Maintain outcome measures, statistics and data for internal use and for external funders.
- Complete fundraising mailings, all other types of communication.
- Maintain accurate records in databases of all donors, and recipients of mailings.
- Be responsible for a variety of financial tasks (including preparing billings, recording donations and creating charitable receipts, recording financial transactions in SAGE accounting software)
- Assist with organization events and fundraisers.
- Perform other tasks as required by the Executive Director or designate.

- Strong organization and time management skills; the ability to multi-task and meet deadlines.
- Knowledge of Microsoft Excel, Word, Publisher, and comfort learning new database software.

**Education and Qualifications**:

- One to two years of experience working in a related capacity
- Relevant secondary or post-secondary education (some post-secondary education would be beneficial)
- Experience with Sage or similar accounting/bookkeeping software an asset
- Previous experience in a not-for-profit considered an asset
- Alignment with the mission, vision and values of Shalom Counselling Services

**Employment Conditions**:

- Compensation is based on the agency salary grid ($43,500 -$50,100, depending on experience) at.8.FTE status plus benefits. This position starts at 3 weeks vacation.
