**JOB OVERVIEW: Facilities Event Logistics & Dispatch Coordinators**

The Event Logistics & Dispatch Coordinators are responsible for a variety of administrative and logístical duties in support of the Facilities Department’s wide scope of services that impact the KPU community. The primary areas of focus include event logistics coordination; dispatch; work force planning and scheduling; space security and access; and departmental support. The Facilities Front Office and its incumbents provide one point of contact where the university and general public can access all the support related services of KPU’s Facilities. This includes liaising with any internal or external group that is required in order to support the needs of our KPU community.

Ensures applicable policies and procedures are adhered to, and that exemplary levels of customer service are provided to students, employees, the University community and other internal and external stakeholders.

**EDUCATION AND EXPERIENCE**
- Bachelors Degree or relevant experience required.

**QUALIFICATIONS**
- Minimum 3 years’ experience in an office environment in support of a service area demonstrating excellent interpersonal skills while exhibiting a high degree of timely customer service.
- Proven ability to quickly learn, understand, and implement complex systems and procedures such as records management; room booking contracts and event coordination and planning;
- Demonstrated ability to work as Dispatch for a multi-location auxiliary pool (SNAP Scheduling system preferred)
- Technician level understanding of Team Dynamix (TDNext) or equivalent Work Order Management System
- Demonstrated proficient knowledge of computer concepts and terminology; demonstrated intermediate level of competency with Microsoft Office including the ability to export from a database to excel and create and present reports.
- Demonstrated ability to work as dispatch for a Call Centre (Telax experience preferred) Demonstrated ability managing logistics for large events and experience scheduling space in ASTRA or similar space scheduling and management systems.
- Demonstrated understanding of rental contracts and certificates of insurance as it relates to rental and space lease agreements.
- Proven ability to communicate with diverse groups of people in order to execute the necessary logistics to support complex event requirements.
- Minimum of 45 wpm keyboarding skills with a high degree of accuracy and demonstrated intermediate level of competency with Microsoft Office including Word and Excel.
- Proven ability to recognize, analyze, and resolve problems that often include elements of risk while working with a minimum of supervision.
- Demonstrated ability to sustain a high level of productivity while setting priorities and meeting deadlines in a fast paced environment frequented by interruptions.
- Proven ability to communicate effectively in English both verbally and in writing and interact patiently and effectively with a wide and diverse community including administrators, students, faculty, employees, member of the public, and contractors
- Proven ability to independently draft formal and non-formal correspondence, minutes of meetings, notices, and other business communications based on knowledge of established styles and practices.
- Demonstrated aptitude for exacting and precise work including grammar, punctuation, numeracy and spelling.
