Reporting to the Director, People & Culture, the People & Culture Assistant is the first point of contact for all employee related inquiries while delivering client-focused and timely responses and service.
The People & Culture Assistant is integral to the day-to-day coordination of activities related to the operation of the department. This position plays a key role in fostering strong communication, building relationships, and contributing to efficient service delivery. In addition, this role will support in streamlining all processes within the team, assist with projects as needed, and support key functions within the team including recruitment, payroll, benefits administration and reporting.
**Responsibilities**:
- Supports various People & Culture administrative activities including but limited to:
- Scheduling interviews
- Completing academic checks, Criminal record and background checks
- Maintaining official competition and selection documentation and new employee files
- Completion of reference checks
- Maintenance of employee records
- Documenting various processes
- Creating and maintaining reports
- Supports the onboarding and offboarding process.
- Maintaining the Student Information System (SIS) database for all active employees.
- Print and distribute ID cards as required.
- Support the maintenance of general documents including employee files.
- Complete contract requests for a variety of positions using systems or templates.
- Prepare letters for employees as requested such as employment and salary verifications.
- Complete various compensation surveys for WCB, Alberta Government, etc.
- Contribute to the continuous improvement of People & Culture processes, and client service by seeking efficiencies.
- Participating in People & Culture initiatives and projects in support of the institution plan and strategic goals.
- Support the organizing, planning, delivering employee events.
- Support the administering of the Tuition Benefits Program, the Professional Development Program, the Gifts and Hospitality procedure for bereavement, recognition, and other program initiatives.
- Administering ETS at Work program including ordering monthly passes and maintaining participant list.
- Support the revision of policies and procedure as needed.
**Requirements**:
- An undergraduate is considered an asset.
- 5 years administrative experience in a fast-paced environment.
- Experience in post-secondary sector and/or Human Resources is considered an asset.
- Experience with Human Resources Information Management Systems and Applicant Tracking Systems is considered an asset.
- Client focused with a strong customer service background.
- Skilled in written and oral communication.
- Strong interpersonal skills.
- Strong attention to detail with the ability to multi-task in a fast-paced environment.
- Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion.
- Experience in working with competing deadlines with the ability to prioritize tasks with tight deadlines.
- Ability to be a team player.
- Satisfactory Criminal Records Check results.
