**Canadian Office Operational Coordinator**
- **Overview**_

Reporting directly to the Canadian Executive Director the Canadian Office Operational Coordinator highly skilled professional specialized in managing, coordinating, and overseeing of planning, implementing, and evaluating different projects ensuring the coordination of operational aspects for the Canadian office.
- **Requirements**_
- Post-secondary education, minimum of a Certificate or Diploma equivalence in relevant field Minimum of 2-3 years work experience working in a similar role
- Experience in office coordination, event planning and management, and social media branding
- Superior oral and written communication skills in English
- Fluency in French, Spanish or Arabic is an asset
- Strong familiarity with various software’s and social media platforms as well as various Microsoft and Google office suites
- Ability and willingness to be available on weekends and evenings where required
- Ability and willingness to transport clients to and from the airport on a regular basis (RedLeaf offers a generous KM reimbursement amount)
- **Roles and Responsibilities**_

1. Event Management
- Identify the client’s requirements and expectations for each event.
- Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
- Manage all event set-up, tear down, and follow-up processes.
- Maintain event budgets
- Attend overseas events if required
- Book venues, entertainers, photographers, and schedule speakers where applicable
- Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
- Assess an event’s overall success and submit findings.
- Manage office wellness awareness program by planning and executing strategic wellness initiatives based on Executive Directors vision
- Manage office social committee events and plan in conjunction with office members for various social events throughout the year meant to maintain and increase moral
- Support the Director, Marketing and Communications in facilitating the Loyalty program
- In collaboration with the Executive Director and Director, Marketing and Communications develop and administer an alumni program aimed at connecting former clients to RedLeaf
- Book flights for Directors and Executive Director where applicable and appropriate
- Book accommodation for RedLeaf employees as well as clients where applicable

**2.** Office Coordination
- Help other teams with basic administrative tasks٫ such as redirecting calls٫ disseminating correspondence٫ scheduling meetings and so on
- Meet and support visitors when they arrive at the office - Ensure that office workflow procedures are followed with maximum efficiency
- Manage files and records for Directors and staff as required
- Respond to customer complaints or issues
- Manage specific paperwork for Directors and Executive Director
- Manage Executive Directors Calendar and other aspects of his/her day to day operations
- Manage office supplies inventory and place orders
- Participate in vendor relationship management

**3.** Social Media Administration
- Perform research on current benchmark trends and audience preferences
- Design and implement social media strategy to align with business goals
- Set specific objectives and report on ROI
- Generate, edit, publish and share engaging content daily (e.g. original text, photos, videos and news)
- Monitor SEO and web traffic metrics where applicable
- Meet regularly with Director, Global Technology
- Collaborate with other teams, like marketing, sales and customer service to ensure brand consistency
- Communicate with followers, respond to queries in a timely manner and monitor customer reviews
- Oversee social media accounts’ design (e.g. Facebook timeline cover, profile pictures and blog layout)
- Suggest and implement new features to develop brand awareness, like promotions and competitions

Other Duties as assigned by the Executive Director

**Salary**: $50,000.00-$65,000.00 per year
