Administrative Secretary

Native Education College (NEC) opened its doors in 1967 and became British Columbia's largest private Indigenous College. NEC’s purpose is to contribute to an Indigenous, holistic experience that positions the Indigenous learner to uphold their responsibility and obligations to their family, and nation of origin as autonomous Peoples. NEC provides culturally relevant education and training for Indigenous Peoples to pursue career aspirations and enhance academic goals in alignment with their diverse cultural identities and traditional knowledge. The NEC longhouse offers access to many resources and in-house support that includes cultural and spiritual support, funding, counselling, and career advising from a culturally authentic lens.
**Position Summary**
Reporting to the President, the Administrative Secretary provides dedicated administrative support to the President's Office and the Board of Directors. This role ensures efficient operations, communication, and organization within the institution, while upholding NEC's mission and longhouse values. The Administrative Secretary will manage tasks such as scheduling, correspondence, record-keeping, and meeting coordination, interacting with all administrative and academic departments to support NEC's goals.
**Main Responsibilities**:
- Provide comprehensive administrative support to the President and the Board of Directors.
- Coordinate and manage the President’s and Board’s schedules, including meetings, travel arrangements, and events.
- Prepare and distribute agendas, minutes, and documentation for Board meetings and other official gatherings.
- Maintain confidential records and ensure proper documentation of all Board activities.
- Assist in the preparation and review of reports, presentations, and correspondence.
- Facilitate communication between the President’s Office, Board members, and other stakeholders.
- Support the implementation of Board decisions and follow up on action items.
- Ensure that all interactions reflect the longhouse values of respect, gratitude, understanding, diversity, and accountability.
**Preferred Qualifications**:
- Diploma or degree in office administration, business administration, or a related field.
- Minimum of three years of experience in an administrative support role, preferably in an educational or non-profit setting.
- Experience working with Indigenous communities or organizations is an asset.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and the ability to work effectively with diverse groups.
- Knowledge of Indigenous cultures and traditions, particularly those of the local Musqueam, Squamish, and Tsleil-Waututh nations.
- Ability to demonstrate the longhouse values of respect, gratitude, understanding, diversity, and accountability in all tasks and interactions.
