The secretary supports the administrative work of Department and Division members in achieving the academic, clinical, administrative and research objectives. In addition, there is a requirement to participate as one of the administrative team members and adhere to Agency and Department policies and procedures.
Confidential matters can be diverse; therefore, tact and diplomacy need to be exercised at all times. Initiative, judgment, problem solving skills as well as excellent communication skills are necessary. Competing and conflicting demands require the ability to work under time pressures.
**What you’ll do**
- Schedules and maintains outlook calendar; processes financial requisitions, co-coordinates meetings, books conference leave, flights and hotels.
- Provides other administrative support to Department and Division members, inclusive of management team.
- Provides administrative relief within the Department and Division as required.
- Attends meetings and in-services as required.
- Performs other duties as appropriate to the support of the Department of the Obstetrics and Gynaecology and Division of Maternal Fetal Medicine.

**Qualifications**:
- A level of education, training, and experience equivalent to Grade 12 plus graduation from a formal administrative program plus 3 years recent related experience in a health care environment.
- Ability to work independently and during significant levels of interruptions.
- Ability to multi-talk and prioritize. Proven professional attitude at the highest degree.
- Demonstrated flexibility to meet and adapt to changes in organizational priorities and work under time pressures to meet deadlines.
- Demonstrated ability to communicate effectively both verbally and in writing.
- Demonstrated ability to demonstrate tact and discretion in preparing, disclosing, and handling information of a confidential and/or sensitive nature.
- Demonstrated physical ability to carry out duties of the position.
