Katra Construction is a busy construction/design firm in Calgary AB, with projects focused on residential construction and some light commercial work. They specialize in design & construction and general contract for new builds & renovations of all sizes. They are expanding & seeking a committed full-time (35/hrs per week) administrative assistant who is ready to contribute their talents & expertise to an environment focused on cooperation & respect.

This in-office position is imperative to create an efficient, productive & effective flow of work. It supports the Owner with the fine details & helps to manage the workflow within the office including bookkeeping, procurement, general office duties.

**RESPONSIBILITIES INCLUDE (but not limited to)**:
Admin Work:
Perfect & enforce systems & procedures to uphold well-run systems
Scheduling for multiple projects at a time
Gather all info from suppliers/trades for quoting purposes and draft quotes
Ordering product & managing orders through duration of projects
Inventory management of project materials
Pick up materials & deliver to either onsite or office (must have own transportation)
Paper & computer filing management
CRM/Database implementation and maintenance
Manage updates & changes to website with website company
Maintain & manage office, office supplies, equipment & any coordination with IT consultants
Miscellaneous office errands as well as personal errands for the Owner
**Bookkeeping/Financial**:
Establish & maintain a highly organized and efficient bookkeeping system
Manage project budgets
Accounts Receivable & Accounts Payable
Monthly bank reconciliations
Manage client billing
Sales Tax; monthly prep & filing of quarterly sales tax
Project Reconciliations
Research & resolve invoice/accounting discrepancies and issues
Provide weekly, monthly & annual financial statements, cash flow status reports & strategic planning
**QUALIFICATIONS**:
- Associates Degree or higher in Business/Accounting and/or a minimum of 5 years in a related bookkeeping & office administration role, including demonstrated success in a similar role/position.
- Experience working in a Design, Construction or Architectural office a plus
- Ability to project manage multiple tasks, prioritize workload/tasks and meet deadlines in a fast-paced environment
- Strong math, analytical, decision-making & problem-solving skills
- Strong computer skills; highly experienced with Microsoft Office & Quickbooks Online
- Experience with a work management platform (we use Asana) to organize, track and manage projects is a plus
- Excellent verbal and written communication skills
- Exceptional organizational skills with acute attention to detail and accuracy
- Commitment to meet every deadline. Flexible hours may be required on occasion
- Possess a high level of personal integrity and the ability to exercise discretion and maintain confidentiality
- Professional appearance and positive attitude are a must
- Calm demeanor and ability to handle stress constructively if/when it arises
- A valid drivers license, proof of auto insurance, reliable vehicle to use for errands and a clean driving record
**COMPENSATION & INQUIRIES**:
This will be a contract position with a starting rate of $25-30/hr depending on experience and qualifications, plus mileage.
**Salary**: $25.00-$30.00 per hour
