**Responsibilities**:
Payroll Duties:

- Gather necessary employee information for Quickbooks/tax purposes
- Process bi-weekly payroll and calculate monthly payroll remittance for bank
- Verify time sheets and cross-reference with Deputy
- Manage Deputy Software Program (approve pay, add/manage locations, sync with Buildxact)

Accounting/Quickbooks:

- Manage customer invoicing and vendor billing (inputting bills, cheque processing, credit card payments)
- Reconcile bank statements, credit card statements, and vendor accounts on a monthly basis
- Prepare GST filings on a quarterly basis
- Prepare T4s for employees
- Provide accounting documents as required for Corporate Tax preparation

Buildxact/Cost Tracking:

- Manage job/client invoicing and ensure values correspond to Quickbooks
- Ensure estimated values are in check with actual expenditures
- Allocate material and labour costs to appropriate jobs
- Sync Buildxact jobs with Deputy jobs for labour cost tracking
- Keep paper records on file for all vendor invoices
- Keep job-specific records as required for future billing purposes

Project Management:

- Perform project administration duties such as cost control, schedule control, conflict resolution, and change order process
- Monitor project progress against schedules and budgets
- Oversee ordering of all material, scheduling of employees
- Review invoices, contracts, and assist with account receivables
- Vetting materials and pricing from suppliers and subcontractors
- Review construction specifications, project plans, material, and labour costs in trade contracts and other contract documents for competencies

Administrative Duties:

- Manage Worker's Compensation premiums by providing annual payroll information
- Manage Employee Benefits Program correspondence with MCIP and submit hours through MCIP website on a monthly basis
- Manage Commercial Insurance correspondence with our broker and relay necessary information for renewal purposes and insurance certificates
- Setup and manage credit accounts with various vendor/suppliers

Qualifications:

- At least 5 years of experience in construction administration
- Extremely competent in construction and accounting software
- Solid understanding of building construction and materials
- Strong written and oral communication skills
- Excellent time management and organizational skills

**Job Types**: Full-time, Permanent
