Reporting to the Director of Finance, the Administrative Assistant has a thorough knowledge of ACCESS program and services and is able to communicate this information to clients in person and over the phone. The Administrative Assistant is the face of ACCESS and is first point of client contact for scheduled or unscheduled appointments at our head office location in West Vancouver, BC.
- Willing to pivot to meet the needs of internal and external stakeholders.
- Self-directed and brings knowledge of administrative best practices to the role.

**Primary Responsibilities include**:

- Forward facing to the general public, builds a positive image of ACCESS through general reception duties, answers general phone inquiries and redirects walk-ins or scheduled appointments with tact, diplomacy and professionalism
- Performs general administrative duties in support of the President and CEO, Director of Finance and other members of the management team as required
- Maintains corporate records and file management including agendas, minutes and other related correspondence

**General Duties include**:

- Professionally performs general reception duties ensuring the general public and/or clients are served expeditiously
- Assists with the maintenance of ACCESS policy, procedure manuals and the Employee Handbook
- Distributes in-coming and outgoing mail
- Coordinates Workplace Safety & Health meetings and ACCESS staff events in collaboration with other ACCESS team members
- Maintains office inventory and ordering of supplies as required
- Other duties as required by the director

**Education and Experience**
- Post-secondary education in communications, business administration, or a related field, or equivalent in education/experience
- 2 years’ office experience including administration, reception, database, and records administration duties.
- Knowledge of, or experience in, non-profit organizations and an awareness of Indigenous Culture and Traditions
- Extensive computer experience including MS Office, database management including agendas, minutes, and other correspondence

- Highly professional, confidential and strong interpersonal skills, including maturity, diplomacy, and ability to create positive and professional relationships with all stakeholders
- Solid ability to organize workload adjusting to changing priorities and to work calmly under pressure to meet deadlines.
- Excellent verbal and written communication skills
- Ability to take initiative and leadership, as well as be a strong team player who aligns with ACCESS’ core values
- Planning and organizational skills
- Attention to detail and high level of accuracy
- Positive, energetic, solutions-oriented attitude
- Experience working with Urban Indigenous community and/or First Nations organizations

**Job Types**: Full-time, Permanent
