**Position Overview**

**Minimum Qualifications**
- Education/Certifications_
- High school diploma or equivalent required; post-secondary education in business, administration, or related field preferred.
- Courses or certification in tax administration or accounting are an asset.
- Technical Skills_
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with Adobe Acrobat and other tax or accounting-related software is preferred.
- Ability to use office equipment such as scanners and printers efficiently.
- Strong attention to detail and ability to maintain confidentiality.
- Adaptability to new software or processes as needed.

**Essential Duties and Responsibilities**
- Tax Document Management: _
- Accurately record, sort, and scan personal and corporate tax documents, ensuring all information is organized and filed according to company and CRA requirements.
- Monitor and maintain tax filing deadlines, ensuring all relevant tax documents are completed and submitted on time.
- Organize and maintain both electronic and paper-based filing systems for tax documents, ensuring accessibility and security of confidential information.
- Assist with tax preparation by collecting necessary documentation from clients and organizing it for review by senior tax staff.
- Administrative Support:_
- Assist tax professionals with preparing working papers, ensuring accuracy and completeness of client data and documents.
- Provide clerical support such as photocopying, faxing, and scanning documents for tax engagements.
- Sync and update tax files in software systems like CaseWare or other tax-related programs.
- Handle the assembly of tax packages for clients, including printing, binding, and ensuring that all necessary forms are included.
- Manage the process of retrieving, tracking, and uploading client documents via secure portals or other digital platforms.
- Client Service & Communication:_
- Act as a point of contact for client inquiries, responding to questions related to tax filing deadlines, document submission, and general tax-related queries.
- Coordinate with clients to ensure all necessary tax documentation is submitted, following up as needed to meet deadlines.
- Ensure all client documents are properly signed and that final tax returns are provided to clients in a timely manner.
- Communicate with the CRA on behalf of clients, addressing inquiries and ensuring that tax filings comply with regulatory requirements.
- Confidentiality and Data Security:_
- Maintain the strictest confidentiality in handling all tax documents, ensuring that sensitive information is safeguarded.
- Adhere to firm policies and procedures for managing client data and tax records, implementing best practices for data security and privacy.
- Team Collaboration and Support_
- Collaborate with the tax team, providing administrative assistance as needed to ensure seamless workflows and timely completion of client projects.
- Support senior tax staff with client file preparation, document review, and other administrative tasks to improve efficiency and client service.
- Contribute to a positive and collaborative team environment, aiding colleagues during peak tax seasons.
