Facilities Office Coordinator

The Facilities Office Coordinator helps to support the smooth operation of the Facilities department by
providing administrative support for Facilities functions. The Coordinator is responsible for overseeing
functions related to property management, parking services, maintenance services vendors, purchasing,
and creating purchase orders.
**KEY RESPONSIBILITIES
- Provide Administrative services to the facilities and IT departments
- Coordinate internal communications
- Obtain quotes for maintenance services
- Create purchase orders, prepare requests for proposals/quotes, and receive items in PO system.
- Create and maintain accurate inventory of capital assets.
- Order and maintain a stock of janitorial, office, IT, grounds and other supplies, employee business
- cards and nametags- Maintain an adequate inventory of keys, updating master key sheets when there are changes and
- pulling and cutting keys as required.- Issue keys and security fobs according to University policy to employees (including student
employees), residence students, and guests and ensures keys are retrieved and signed back in as
required.
- Manage office space set-up including furniture to ensure employee comfort and any special
accommodations are met.
- Ensure compliance with health and safety regulations within facilities by implementing safety
protocols, conducting risk assessments, and addressing any potential hazards or violations.
- Complete regular WCB reporting
- Manage relationships with contractors, suppliers, and service providers, including obtaining bids,
- negotiating contracts, and overseeing work performance.- Issue parking passes, address inquiries, resolve complaints or issues, and ensure a positive parking
- experience for all users.- Shipping and receiving duties as required, including TDG (Transportation of Dangerous Goods)
- shipments.- Provide a backup for Reception, Security, and Conference and Food services during breaks,
- vacation, leaves, or when there is an imbalance of workload- Other duties as assigned by the Director of Facilities.
**QUALIFICATIONS
- Diploma in office administration or equivalent post-secondary education required. Extensive
experience may be substituted for education.
- Minimum two years experience in an office or administrative role.
- Pleasant disposition, strong interpersonal skills, and enthusiasm.
- Exceptional telephone manner as well as excellent command of spoken and written English.
- Ability to maintain confidentiality and exercise discretion
- Good communication, interpersonal, and organizational skills.
- Good organizational skills, including ability to multitask and prioritize workload.
- Ability to work productively with limited supervision.
- Proficiency in many of the Microsoft Office Suite Programs (Word, Publisher, Excel, Access etc.)
- Proficient and comfortable learning other computer programs or in the online environment (e.g.,
- Sage, EventPro, Millennium, CHUBB, Sling, SharePoint, etc.).- Knowledge of the University environment desirable.
- Professing Christian able to sign King’s Statement of Faith.

The King’s University follows a standardized salary grid. The salary range for the position is $52,500
