Position Overview:
As Facility Coordinator, this role will provide general office administration as it relates to the campus, space management, supplier contact and general assistance to the employees located in these facilities.

**Job Description**:

- Maintains office efficiency by planning and implementing office hoteling systems, layouts, seating assignment & tracking, and equipment procurement, recycling programs
- General office communications, including updating signage
- PO and Invoice administration for shared campus services
- Communicating stationary ordering processes
- Handling building maintenance issues as they arise and working with the onsite maintenance team
- Working with Branch Admin/Receptionist on incoming and outgoing internal mail, Canada post mail and courier packages
- Liaise with facility management vendors, including cleaning, catering, furniture, movers, online reservation system, security card access, paper shredding, and security service.
- Ensures that the facilities within the campus are well maintained and supports the needs of the organization
- Manage security system access set-up, configuration, training, card tracking, reporting and trouble-shooting
- In coordination with the onsite Environment, Health and Safety team, ensure the safety plans for the facilities within the campus are up to date and are posted and actioned as appropriate
- Supporting the campus with other administrative adhoc needs, including providing reception vacation coverage
- Other projects and Initiatives as assigned

Education & Experience:

- A minimum of 5 years’ experience as an Office Manager, Front Office Manager and/or Office Administrator
- Extensive experience with Microsoft Office
- Enthusiastic approach to resolution of customer / visitor inquiries
- Self-motivated, takes initiative, and adapts to changing demands
- Must be a team player willing to provide assistance in situations when needed
- Must possess a high standard of professionalism with personal interactions
- Certifications in project management, bookkeeping or event planning would be considered an asset
