Medical Receptionist

**MAJOR RESPONSIBILITIES**
- Meet and greet patients
- Answering phones in a timely manner;
- Answering client questions and providing instructions;
- Appointment scheduling, patient registration;
- Manage patient invoicing and receipting, balancing payments (end of day);
- Manage the smooth running of the reception area
- General filing and chart preparation;
- Obtaining prior-authorization from CNESST, SAAQ
- Maintain and ensure waiting room area is tidy and presentable;
- All other reception and administrative duties as required and directed by the office manager.
**EXPECTATIONS**
- Provide excellent customer service to patients and visitors.
- Maintains professional, considerate and congenial work relationships with co-workers.
- Observes strict rules of patient confidentiality.
- Maintains accurate patient records.
- Schedules procedures either in person or by telephone in a prompt, courteous and helpful manner.
- Answers the telephone, takes messages and provides information in a professional manner.
- Keeps work area and dressing rooms clean, organized and stocked with appropriate supplies.
- Observes clinic policies and guidelines.
**QUALIFICATIONS REQUIRED**
- High school diploma
- 1-2 years of medical reception experience
- Professional and client-service oriented
- Well polished excellent customer service skills
- Exceptional oral and written communication skills
- Must be Bilingual
- Computer skills with knowledge of Microsoft Office and/or appointment scheduling software
- Strong professional communication and interpersonal skills
- Knowledge of medical terminology is an asset
- Experience with receiving and processing payments an asset
- Strong attention to detail
- Ability to multi task
- Ability to cope and work in a busy environment
- The ability to work within a cohesive team environment
- The ability to adapt and respond to change

PRINCIPALES RESPONSABILITÉS
- Rencontrer et saluer les patients
- Répondre aux téléphones en temps opportun ;
- Répondre aux questions des clients et fournir des instructions ;
- Prise de rendez-vous, enregistrement des patients ;
- Gérer la facturation et les reçus des patients, équilibrer les paiements (fin de journée);
- Gérer le bon fonctionnement de l'espace d'accueil
- Classement général et préparation des dossiers ;
- Obtention de l'autorisation préalable de la CNESST, de la SAAQ
- Entretenir et s'assurer que la salle d'attente est bien rangée et présentable ;
- Toutes autres tâches de réception et administratives requises et dirigées par le chef de bureau.
ATTENTES
- Fournir un excellent service à la clientèle aux patients et aux visiteurs.
- Entretenir des relations de travail professionnelles, prévenantes et conviviales avec ses collègues.
- Observe des règles strictes de confidentialité des patients.
- Tient à jour les dossiers des patients avec précision.
- Planifie les procédures en personne ou par téléphone de manière rapide, courtoise et utile.
- Répond au téléphone, prend les messages et fournit des informations de manière professionnelle.
- Maintient la zone de travail et les vestiaires propres, organisés et approvisionnés en fournitures appropriées.
- Observe les politiques et les directives de la clinique.
QUALIFICATIONS REQUISES
- Baccalauréat
- 1 à 2 ans d'expérience en réception médicale
- Professionnel et orienté vers le service client
- Excellentes compétences en service à la clientèle
- Compétences exceptionnelles en communication orale et écrite
- Doit être bilingue
- Compétences informatiques avec connaissance de Microsoft Office et/ou d'un logiciel de prise de rendez-vous
- Solides compétences en communication professionnelle et en relations interpersonnelles
- La connaissance de la terminologie médicale est un atout
- Expérience dans la réception et le traitement des paiements, un atout
- Grande attention aux détails
- Capacité à effectuer plusieurs tâches à la fois
- Capacité à s'adapter et à travailler dans un environnement occupé
- La capacité de travailler dans un environnement d'équipe cohésif
- La capacité de s'adapter et de réagir au changement
